Ensure the organization of records management work and document circulation in Jelgavas novada Sociālo lietu pārvalde (hereinafter - the Administration) in accordance with regulatory requirements. 2. Process and direct received Administration invoices for payment in the document management system (DVS) "Namejs". 3. Ensure registration, recording, circulation and distribution of received and sent documents (including those containing restricted access information) electronically in DVS Namejs to responsible persons, as well as document storage in accordance with regulatory requirements and file nomenclature. 4. Monitor document execution deadlines, systematize documents and file them according to file nomenclature. 5. Register shipment services, print and direct them for execution in DVS Namejs. 6. Register decisions on social benefits and services. 7. Receive and register submissions, prepare and issue document copies upon request, and receive client calls. 8. Ensure information exchange between the Administration, other structural units, administration and other institutions. 9. Ensure minutes taking, registration and formatting of Administration meetings/assemblies in accordance with records management requirements. 10. Prepare documents for archiving in accordance with document classification scheme, as well as ensure management, organization, systematization and updating of document storage. 11. Prepare work time tracking tables for Administration employees. 12. Prepare annual vacation schedules for Administration employees. Requirements for candidates: 1. at least first-level higher education; 2. education in a field related to records management and experience in a state or municipal institution will be considered an advantage; 3. work experience of no less than 2 years in a field related to records management; 4. good skills in working with MS Outlook, Word, Excel, DVS Namejs; 5. excellent knowledge of Latvian language in spoken and written form; 6. good communication skills in direct contact and written correspondence, as well as over the phone with visitors, administration employees, municipal institutions and enterprise employees, representatives of other legal entities; 7. ability to organize and plan your work, analyze situations and consequences of actions, find the most appropriate solution. Monitor changes in mental state, behavior and health status of clients in care. Inform on-duty nurses, psychiatrists about changes and make entries in the client's file.
