Finance & Administration Manager

About the Job Would you like to help build a modern finance department in a rapidly growing e-commerce company? We are now looking for a Finance Manager who wants to take overall responsibility for finance and administration in one of Sweden's fastest-growing e-commerce companies. This is not a traditional finance role. We are looking for someone who is equally comfortable with ongoing bookkeeping and VAT reporting as with developing processes, improving routines, and helping the business work smarter. With us, you will have significant responsibility and the opportunity to influence how the finance and administration function develops over many years to come. About Hill Ceramic Hill Ceramic is one of Sweden's fastest-growing e-commerce companies in the tile, ceramics, bathroom, and home furnishing sectors. We sell to both private individuals and companies in Sweden and Denmark, and will soon establish ourselves in Norway as well. Over the past four years, we have grown from approximately 25 MSEK to over 100 MSEK in revenue and continue to invest in people, technology, and long-term development. We have high ambitions and are planning for continued strong growth in the coming years. We recently moved to a new head office and warehouse in Malmö where the CEO, finance, B2B, customer service, and warehouse teams work closely together. Unlike many other companies, we develop large parts of our systems ourselves through our wholly-owned development company in Ukraine. This includes our procurement, logistics, product management, development, and parts of our customer service teams. This allows us to quickly adapt our internal systems to the business's needs and continue to improve our ways of working. About the Role You will have overall responsibility for daily finance administration and work closely with management, procurement, B2B, customer service, and our development team. We recently implemented Fortnox and continue to develop our finance processes and administrative routines. We are looking for someone who appreciates order and structure but who also sees opportunities to simplify, improve efficiency, and develop the business. Beyond day-to-day finance work, you will play an important role in developing the company's financial reporting, analysis, and KPIs. You will help management develop relevant decision-making materials and monitor operations in a structured way. The role also includes an important responsibility for the company's administrative HR functions. You will work with personnel administration, prepare payroll documentation, administer pensions and insurance, create employment contracts, and provide administrative support to management on personnel matters. Payroll management is handled in collaboration with an external payroll partner. You will also work closely with our external accounting and advisory firm, which supports us on more complex accounting and tax matters. Your Main Responsibilities Ongoing bookkeeping. Accounts payable and receivable. VAT reporting and tax returns. Reconciliations and monthly financial statements. Cash flow monitoring and payments. Manage the company's ongoing personnel administration. Prepare and quality-assure payroll documentation in collaboration with external payroll partner. Administer pensions, insurance, occupational pensions, and other employee benefits. Create employment contracts, certificates, and other personnel documentation. Serve as contact person with authorities, banks, insurance companies, and external partners. Participate in budget and follow-up work. Prepare financial reports and decision-making materials for management. Develop and monitor the company's KPIs and financial metrics. Identify and implement improvements in finance, administration, and internal processes. We Are Looking For Someone Who Has several years of experience in qualified finance work. Has worked independently with ongoing bookkeeping, VAT, and finance administration. Has experience with personnel administration and preferably with payroll documentation, pensions, and other HR-related administrative tasks. Has experience with Fortnox or similar business systems. Is thorough, organized, and takes responsibility. Values order and control but is driven to develop and improve work methods. Has an interest in financial follow-up, reporting, and business development. Is pragmatic and enjoys working close to the business operations. Communicates fluently in Swedish and English, both verbally and in writing. It Is Advantageous If You Have Experience With E-commerce. Import and international trade. EU VAT and international accounting. HR administration. Payroll administration or collaboration with external payroll firm. Employment law and personnel administration. Fortnox. Budgeting and forecasting work. KPI monitoring and financial analysis. Power BI or similar analysis and reporting tools. We Offer A key role in a rapidly growing company with high ambitions. Great freedom within responsibility. Opportunity to develop the finance department of the future. Close collaboration with management and all departments. Opportunity to influence work methods, processes, and the company's continued development. Modern offices in Malmö. Wellness allowance. Occupational pension. Competitive salary based on experience.
