Executive Assistant & Team Coordinator

We believe in movement. The training we do within our walls equips us better for life outside. Challenges, setbacks, and everything else that comes with being human become a little easier to bear when the body is strong and gets to move. Right now, perhaps more than ever, society needs to be filled with people who feel good. For the ripples on the water to spread further, we need to lower the barriers and make training more accessible. That's where STC comes in. Together, we will advance public health, one step and one push-up at a time, and lead more people to a place where they can become a better version of themselves. We're now looking for you to be part of this as our new Executive Assistant at 100%. You report to the CEO with a position at our support office in Kungälv. Your Assignment As Executive Assistant & Team Coordinator, you are a hub in our organization. You work closely with our CEO and leadership team and are a crucial cog in keeping our days running smoothly. You're responsible for managing the CEO's calendar, meetings, travel, and correspondence with the highest professionalism. You ensure that the right information is in the right place at the right time, that presentations meet high standards, and that communication is clear, accurate, and well-thought-out. You also step in and take meetings when needed, find smarter ways of working, and suggest how administrative tasks can be streamlined through digitalization and AI. You come up with ideas and initiatives, stay one step ahead, and create conditions for truly proactive collaboration. In short, you free up time and energy for the CEO and leadership team so they can focus on what makes the greatest difference. When the CEO or leadership team is not present, they often turn to you—with questions, needs, or information. You have an overview, trust, and the mandate to help, solve problems, and create momentum in daily operations. At the same time, you are a support to the entire leadership team. This means you prepare meetings, manage travel, follow up on deadlines, gather decision-making materials, and keep track of initiatives driven by management. Beyond that, you have overall responsibility for creating a pleasant and inspiring work environment at our support office in Kungälv, where approximately 60 employees have their daily workplace. You ensure the office is welcoming, breakfast is set out for monthly meetings, coffee breaks are arranged, and holidays are acknowledged. You also act as project manager for major annual conferences and events. You keep track of supplies, meeting rooms, workflows, and morale, and you know how much the small details matter for everyday life. Who Are You? You are someone who thrives in a central role with a fast pace and great variety. You have several years of experience working in a support function close to a CEO or leadership team, and you know what it takes to stay one step ahead in your daily work—both practically and communicatively. Handling confidential information, adapting quickly to new contexts, and acting with integrity are second nature to you. You have a strong sense of structure and order, but you're also unpretentious and flexible when the situation requires it. It's equally natural for you to coordinate a leadership meeting with meticulous attention to detail as it is to ensure the office is stocked with the right materials and the mood is good going into a joint breakfast meeting. You build relationships with ease, have high social competence, and enjoy creating comfort and structure around you. You have an eye for detail, are self-driven and initiative-taking, and are motivated by giving others the right conditions to succeed. You have an open approach to how AI is changing work methods and use tools like ChatGPT, Claude, or Copilot as a natural part of your day. Requirements • At least 3–5 years of experience as an Executive Assistant, Office Manager, or similar role • Very strong ability to communicate verbally and in writing in Swedish (English is a merit) • Very good knowledge of the Microsoft Office suite • Interest in digital tools, data-driven work methods, and AI solutions And of course, it's a great plus if you enjoy training and health! What Awaits You With us, you get a clear assignment and the trust to shape it yourself. STC is growing fast, and you have an important role to fill. It's a role with broad mandate, and for the right person, there are good opportunities to grow and take steps within STC. You also get: • Gym membership with access to all STC gyms throughout Sweden, including group training • Discounts through partners and sister companies • Collective agreement • Role-specific development and career opportunities within STC • Hybrid arrangement, 4 days in the office and 1 day remote • Joint training sessions with colleagues Our Recruitment Process As part of the recruitment process, we use tests from Alva Labs, not as a screening tool but in a later stage of the process. The tests consist of a logical problem-solving test and a personality test. The tests take approximately 30 minutes in total to complete, and you'll receive information and examples of tasks before you start the actual test. We will make selections on an ongoing basis until we find our new star! If you have questions or concerns about the position, feel free to reach out to Lovisa Lorentzon at [email protected]. Approximately 3,000 employees work with us every day to provide good and safe specialist healthcare of the highest quality. Do you want to develop in an operation with broad medical expertise? Do you want to work close to the acute patient flow, make qualified clinical assessments, and at the same time develop in an operation with broad medical expertise? On Medical Unit 4, you will meet patients with everything from acute medical conditions and infections to cardiac, pulmonary, and surgical issues. The breadth means that no two days are alike, and you quickly develop strong clinical competence. We are a relatively young operation that continues to develop. This means you have the opportunity to influence working methods, routines, and future development, while also receiving support from experienced colleagues and a clear commitment to creating a safe and learning work environment. With us, there is a senior nurse function with clear clinical presence in daily work. The function is part of our systematic work with patient safety, learning, and competency development, and provides security for new colleagues as well as support and deepening for more experienced nurses. About Medical Unit 4 Medical Unit 4 is a broad internal medicine ward with 28 care beds where acute care and inpatient care work together. The unit encompasses both the emergency care unit (AVA) and traditional medical inpatient care, which creates a unique breadth and variation in daily work. We care for patients with a wide spectrum of medical diagnoses and, in the AVA, also surgical diagnoses. Many patients are early in their care journey and require careful clinical assessments, observations, and quick decisions, while others need continued medical treatment and care. This means that as a nurse, you develop both your acute competence and your ability to plan and coordinate care over time. Work is characterized by variation, flexibility, and the opportunity to gradually broaden or deepen your competence based on interest and experience. An operation in constant development Development is a natural part of our daily work. We continuously work to improve patient flows, working methods, and competency development to meet future care needs. We also have close collaboration with the hospital's other medical operations, including HIA and IMA, which creates good opportunities to broaden and deepen your competence within several different care levels. With us, you should be able to grow in your profession without having to leave the operation. Your role as a nurse With us, you work in a team together with doctors, nursing assistants, and senior nurses, in person-centered care with a focus on quality, patient safety, and good collaboration. Work is characterized by: - Acute and subacute care flows - Medical assessments and observations - Fast care processes where the right decision at the right time is crucial - Care of patients with complex care needs - Teamwork with shared responsibility for planning, implementing, and following up on care With us, you get the best of both worlds – the pace and clinical challenges of acute care, combined with the opportunity to follow the patient's continued care journey. This creates a unique work environment where you develop both broad medical competence and strong clinical judgment skills. Who are we looking for? We are looking for you who are a registered nurse and who: - Thrive in an environment with pace and variation - Want to work close to acute care but in an organized and safe context - Are curious, responsible, and like to learn new things - Appreciate collaboration and teamwork - Want to contribute to the development of the operation You can be newly graduated or have several years of experience. With us, it is just as important how you want to work as how long you have been doing it. Great emphasis is placed on personal suitability. Development and education We want you to feel safe in your role and continue to develop over time. Therefore, we offer: - Individually customized orientation (4-5 weeks) - Frequent follow-ups with the unit manager - Support from senior nurse in daily work - Regular internal training in medicine and care - Clinical foundation year for newly graduated nurses - Simulator training and cross-organizational learning Development with us is not a project on the side – it is part of everyday work. Other information Selection and interviews are ongoing, so don't delay your application. Welcome to a workplace where development, engagement, and collaboration are at the center – and where together we build the future of medical care.
