Staffing Planner

– A job with room for growth Are you responsible and solution-oriented? Are you motivated by working in a supportive role and do you enjoy variety in your work? To meet the operations' needs for short-term temporary staff, we are now looking for a staffing planner – we welcome your application! Welcome to us! The staffing pool in Krokom Municipality currently consists of 9 permanent nursing assistants and 16 permanent childcare workers, approximately 300 temporary substitute staff, and administrative personnel. The administration is located in central Krokom. The Social Services Department consists of 600 employees with a broad range of responsibilities. The department is divided into five operational areas and is present throughout the municipality. We are responsible for providing care and services, support and assistance, as well as health and medical care to the municipality's citizens who need it, at all stages of life. The staffing pool is facing a reorganization where we will become a central scheduling and staffing unit, and ahead of that change we need to expand our team with an additional staffing planner, from three to four positions. A day as a staffing planner As a staffing planner, you are responsible for meeting the need for short-term temporary staff from our various operations. Using the Time Care Pool scheduling system, you plan assignments so that the right substitute, with the right competence, ends up at the right workplace, at the right time. The staffing planners will also handle all short-term absences for residential care, disability services, and home care. You handle temporary staff requests that come in through the staffing system from operations within the Social Services Department and the Children and Education Department. This can involve both acute short-term needs and planned long-term needs such as vacation or other absences. You will also be the one to receive and handle short-term absences from operations in the Social Services Department. The role also includes reviewing temporary staffing needs in the operations, planning and booking introductions for both the permanent "Pool" staff and the hourly employees. You perform control of time rules in Time Care Pool related to rest periods and weekly days off according to the Working Time Act, distribute leasing cars, and maintain ongoing dialogue with managers, administrators, and management support in the operations. You should be comfortable having many contacts both by phone and email. The work also includes other administrative tasks such as documentation and writing meeting notes, as well as handling follow-ups in Excel. When needed, you should participate in recruitment processes and be confident in conducting follow-up conversations with temporary staff, such as during introductions and feedback sessions. Your competence Requirements: You have upper secondary education and are comfortable working in several different systems. Driver's license (category B) Meritorious: Experience from similar work and/or knowledge of the Working Time Act. Experience working with Time Care Pool, Heroma, and/or Office 365. Other: To thrive in the role, it is important that you have good planning and collaboration skills, a professional approach with a high level of service in all situations, and can express yourself in both speech and writing. You have a solution-oriented approach, see opportunities, and are comfortable with varying pace. Working as a staffing planner also requires the ability to take responsibility and use your own initiative, be organized, and be able to reprioritize. A day as a schedule specialist at the Staffing Pool We are facing a change in our approach to scheduling and staffing needs, and in this change you as a schedule specialist will be one of the key people. The central scheduling and staffing unit will be a support function for several operations within the Social Services Department (Home Care, LSS and Residential Care). You will work together with staffing controllers, staffing planners and other support functions in close dialogue with operational unit managers regarding scheduling based on both short-term and long-term needs as well as laws and agreements. As a schedule specialist, you will monitor schedules based on sustainability, needs and economy. You will be part of a team with staffing controllers and staffing planners where you quality-assure the scheduling process, provide improvement suggestions and have a helicopter perspective. The role includes introducing managers and scheduling planners to both TimeCare and Heroma. In the role it will also be important that you share improvement suggestions and see development opportunities. Your competence Requirements: You have experience working with scheduled round-the-clock staffing/scheduling and have a good understanding of labor laws and collective agreements. The position requires good knowledge of Swedish, both spoken and written. Driver's license for a car Meritorious: We would like you to have experience as a scheduler where you have worked with joint planning and development. That you have appropriate education for the assignment. It is positive if you have previous knowledge and experience from municipal or other public sector activities.
