Facilities and Service Coordinator at IAF

At the Inspectorate for Unemployment Insurance (IAF), we are now looking for a facilities and service coordinator who wants to contribute to our workplace and internal services functioning at their best. Job Responsibilities As a facilities and service coordinator, you have an important role in daily operations and ensure that our facilities, our internal services and certain technical systems function properly. You have many contact points and collaborate with both colleagues and external suppliers. The work includes, among other things: coordinate matters relating to our facilities, office services, fire safety and security administer and manage certain technical systems and equipment, such as access control, telephony and video conferencing systems conduct procurements, orders and call-offs and participate in direct procurement and larger procurement processes maintain contact with suppliers and follow up on orders, deliveries and agreements contribute to developing routines and work methods within the facilities, services and procurement areas. The role contains both administrative and practical tasks. Therefore, you need to be comfortable with variety and switching between planned tasks and things that need to be solved here and now. Competency Profile We are looking for you who have completed upper secondary education and experience from work, internship or other activities where you have taken responsibility, provided service and coordinated tasks within the relevant area. You do not need to have prior experience in all areas included in the position. We will provide you with the introduction and training you need to gradually take responsibility for the work tasks. What is important is your personal abilities and your willingness to learn. To succeed in the role, you need to: be service-oriented – you are attentive and accommodating and make an effort to find solutions based on the organization's needs be structured – you plan your work well and follow up on tasks until they are completed have an aptitude for learning digital systems and technical equipment – you are comfortable familiarizing yourself with new systems and can troubleshoot and solve simple technical problems have good collaboration skills – you are responsive and communicate clearly and respectfully. You handle different perspectives constructively and contribute to good cooperation. You also need to be able to communicate well in Swedish, both verbally and in writing. Meritorious It is meritorious if you have experience or knowledge in one or more of the following areas: office services or internal services facilities or property-related matters procurement, orders, call-offs or contract follow-up supplier contacts fire safety, access control, alarm or authorization systems telephony, video conferencing systems or other technical equipment. Our office is located in fine premises in the heart of Katrineholm with good connections to, among other places, Stockholm, Eskilstuna, Västerås and Norrköping. Working Hours/Duration Full-time. The position is a permanent employment. IAF applies a probationary period of a maximum of six months. We provide you with one hour of fitness benefits per week and a fitness allowance.
