As an administrative assistant, you have a central role in our operations. You work closely with the district's managers and provide administrative support to the district's four units. The role is varied and combines qualified administrative tasks with coordination for the administrative team within the Individual and Family Support department.
You will become an important part of our work to ensure efficient administrative processes and high-quality operations.

Your role
In the role of administrative assistant, you will work with, among other things:
invoice management
bookings and orders in Agresso/Kommers
personnel administration tasks
mail and archive management
various administrative tasks based on the unit manager's needs and directives
annual register extracts within family care
economic investigations in connection with child placement
coordination of administrative assistants within the department, for example vacation planning and distribution and coordination of shared work tasks
The position also includes other usual administrative tasks and providing support to operations based on current needs.
Your competence and experience
We're looking for someone who has
relevant education in economics and administration, at least equivalent to upper secondary school economics studies
at least three years of current work experience as an administrator or administrative assistant within government or public sector
experience with invoice management in Agresso or equivalent accounting system
experience collaborating between different operations and functions
very good documented IT skills and good experience with the Office package, especially Excel
very good administrative ability and ability to structure and plan your work independently
good communication skills in Swedish, both spoken and written
It is meritorious if you also have
experience working within Stockholm city
experience with social service systems, for example Paraplyet
experience working as an administrative assistant within social services with a focus on children and youth
To succeed in the role, you need to be organized, meticulous, and have good ability to plan and prioritize your tasks. You work independently, take responsibility for your tasks, and drive the work forward efficiently.
You are comfortable taking instructions and at the same time ready to take your own initiative when the situation requires it. Because operations can change, you need to be flexible and adapt easily to new conditions.
The role involves many contacts, both internally and externally. Therefore, you are good at creating and maintaining good relationships. You have a clear service focus and a willingness to help others by finding solutions and providing professional support.
You understand the importance of quality and are committed to your work contributing to the operation reaching its goals by following decisions made, operational plans, goals, policies, and guidelines.
