Job Description Do you want to work in a dynamic and international environment where you can combine administration, service, and coordination? We are now seeking an administrator for a parental leave position starting as soon as possible through January 14, 2028. The role is divided between work with facilities and infrastructure at the department and administration and coordination of the national competence center CHARMEC. The position involves many contact points and close collaboration with managers, researchers, administrators, and external partners. Responsibilities Facilities and Infrastructure (approximately 50%) Support the administrative manager in facility-related projects and manage facility matters and maintenance requests. Serve as the contact person for facility issues with staff, managers, CFAB, Akademiska Hus, and external suppliers alongside the administrative manager. Support the department's work with efficient use and development of facilities, workplaces, and work environment. Handle matters related to furniture, signage, and temporary workstations and contribute to order and safety in the facilities. Participate in the department's shared operational support through work in the infrastructure group and at internal events. CHARMEC, a national center for railway mechanics (approximately 50%) Plan, prepare, and administer board meetings, seminars, conferences, and other events. Responsible for meeting notices, mailings, minutes, documentation, reports, and filing. Contribute to budget monitoring, financial summaries, invoicing documentation, and payment tracking together with the responsible accountant. Administer contact registers, agreements, and project-related tasks and provide support to national and international collaboration projects. Employment Type Full-time parental leave position. Qualifications We are looking for someone who has: Post-secondary education in administration, economics, project management, or another relevant field, or work experience that the employer considers equivalent. Experience with qualified administrative work, coordination, and operational support. Experience independently planning, coordinating, and following up on activities or processes. Strong organizational skills and experience managing multiple parallel tasks and contact points. Experience coordinating resources, such as personnel, facilities, materials, or external suppliers. Very good ability to communicate in Swedish and English, both verbally and in writing. Good digital skills and experience working with Microsoft Office and other administrative systems and tools. It is an advantage if you have experience with: Work in educational operations, university, or higher education institutions, Project management or project support, Facility booking, facility planning, or other resource coordination, Financial administration or administrative follow-up, Work in a larger organization with many internal and external contact points.
