Do you want to be the face of RFSU-kliniken and contribute to a world where everyone is free to determine their own body and sexuality? RFSU-kliniken is now looking for a substitute receptionist on a part-time basis! About the Role The receptionist position at the clinic involves greeting and registering patients. You are expected to independently take responsibility for receiving the clinic's patients. You prioritize your work and ask for support when needed. An important part of the receptionist role at RFSU-kliniken is being the face of the organization and contributing to RFSU's vision of a world where everyone is free to determine their own body and sexuality. As a receptionist at RFSU-kliniken, you are the face of the operation and the first contact patients meet, both in the waiting room and on the phone. Your main duties consist of: Patient Reception: Welcome patients, check in arrivals, verify identification, receive payment, and register exemption cards. Scheduling & Phone: Handle incoming calls, cancellations and rescheduling, and answer questions via phone and digital healthcare platforms (e.g., 1177). Administration: Update patient information in the medical records system, handle mail, billing, and cash reconciliations. Waiting Room Management: Ensure the waiting room and entrance are clean, welcoming, and stocked with materials or brochures. Internal Coordination: Route patients to the appropriate professional category (doctors, nurses, midwives, psychotherapists, family therapists). About You These competencies are essential for handling daily tasks: Communication Skills in Swedish and English: Greet patients at reception, handle incoming phone calls in a clear and professional manner. Professional and Reassuring Approach in Challenging Situations: Meet and handle patients and visitors who are in varying emotional states in a calm and empathetic way. Structured and Strong Administrative Abilities: Register arrivals, record accurate patient information, handle payments, manage cash reconciliations, and maintain good order in the waiting room. Basic Computer Skills: Manage email, digital booking systems, and familiarize yourself with written procedures and regulations in the workplace. Confidentiality and Ethical Judgment: Handle sensitive patient information, ID verification, and confidential information in accordance with current applicable legislation. It is also an advantage if you have... Experience with the TakeCare medical records system: Quick and efficient patient registration, medical record management, and appointment scheduling from the start without extensive system training. Relevant professional training such as healthcare administrator or nursing assistant: Deeper understanding of healthcare workflows, medical terminology, and patient prioritization in the waiting room. Additional language skills beyond Swedish and English: Facilitate communication and create security for patients with other native languages or sign language. Previous experience from healthcare or clinic work: Faster adaptation to crisis and emergency situations in the waiting room and understanding of collaboration with clinic colleagues. Ability to remain calm and prioritize during temporary busy periods and challenging situations. What We Offer This is a part-time substitute position (50%) starting immediately, for 12 months with the possibility of extension. RFSU has a collective agreement that includes occupational pension and benefits such as a 37.5-hour work week, wellness allowance, wellness hour, and the option of subsidized lunch (Edenred).
