Our Operations The Area Coordinator position is placed within the Administrative Service Unit. The unit has about ten employees working with management support, operational support, and overarching administrative matters. We work together in the management and support functions' facilities using an activity-based workspace. Akademiska Hospital is organizationally divided into six areas, each with an area manager. Three area coordinators support the area level, and we are now seeking a temporary replacement for areas 1 and 2: • Area 1 includes the following operational areas: Anesthesia, Surgery and Intensive Care, Hematology and Oncology, Surgery and Urology, and Orthopedics and Hand Surgery. • Area 2 includes Cardiology and Pulmonology, Neurology, Plastic and Maxillofacial Surgery, and Otolaryngology. Your Assignment The role of Area Coordinator involves providing qualified management support at the area level, handling personnel and financial administration, information and document management, as well as communication and coordination. Additionally, you will be involved in defined projects and assignments, for example as a project administrator or to independently investigate and provide proposals on a matter. As an Area Coordinator, you work closely with area managers and other area coordinators, as well as with colleagues in other support functions and core operations. Management Support • Provide support to the area manager in daily work including calendar coordination, meetings and activities, coordination of various matters and issues, agenda planning, connecting meeting participants, email management, and writing meeting notes. • Assist the area manager with preparing reports, statistics, and presentation materials. Handle and follow up on overarching decisions, agreements, and procurements according to existing procedures. Personnel and Financial Administration • Personnel and financial administration in operational systems. • Handle collaboration matters in cooperation with manager and HR. • Coordinate recruitment and orientation for managers reporting to the area manager. Communication and Coordination • Coordinate, compile, and disseminate management information within the area. • Ensure that the area's communication platform on SharePoint is kept updated and follows the established structure. • Manage the network for information, experience exchange, and development matters related to administrative roles. Information and Document Management • Records management, which includes ensuring that the area's documents are handled according to the hospital's document management plan. • Participate in developing and maintaining administrative governing documents and procedures. • Data Protection Officer with coordinating responsibility to communicate GDPR knowledge to relevant roles within your area. • Provide support in Microsoft 365, particularly SharePoint according to the hospital's established structure, to designated administrative roles. Your Qualifications The Area Coordinator role requires at least upper secondary education. University education or supplementary education in administration is a merit. You have very good knowledge of Swedish in both speech and writing, the Microsoft 365 package, and a high level of digital maturity. Experience in qualified management support is a requirement for success in this role. Your Competencies The role requires a high degree of integrity, working in a structured and independent manner, and being able to drive and develop the work. You are quality-conscious and service-oriented, with communication and networking skills and excellent ability to collaborate. Furthermore, the role involves being solution-focused, managing parallel processes, having good prioritization ability and taking own initiatives, sometimes at a high pace. To thrive in the role, you also need the ability to adapt to changed circumstances and a willingness to contribute to developing new working methods and procedures.
