We are now looking for an Office & Business Support Administrator for our Göteborg office. The role is broad and operationally focused, combining office service, business administration, and administrative support within IP (Intellectual Property). You will become an important part of our team in Göteborg and work closely with colleagues at our other offices in Sweden and Denmark. You will be part of our Scandinavian Office Support team and report to the Head of Operations Sweden. About the Role In this role, you will contribute to ensuring that both the office and our administrative processes run smoothly and efficiently. You will have many points of contact and work independently within your areas of responsibility, while collaborating closely with colleagues in Operations, Finance, and IP Support. The tasks are varied and may include: · responsibility for daily office service and contributing to a well-functioning and pleasant work environment · coordinating internal activities, meetings, and client events · managing office supplies, supplier contacts, and practical office-related matters · providing administrative support to the business and our consultants · supporting client-related administration, such as invoicing and follow-up · registering and updating information in our business and IP systems · assisting with the setup of new clients and cases · performing administrative tasks related to IP matters · collaborating with colleagues in Office Support and other support functions in Sweden and Denmark · contributing to the development and improvement of our administrative methods and routines Since the role is broad, tasks may vary over time based on business needs. Who Are We Looking For? We are looking for someone who is service-oriented, organized, and thorough, and who enjoys varied tasks and many points of contact. You take your own initiative, drive your work forward, and have a natural ability to collaborate and help where needed. You have completed upper secondary education and experience from a similar role in administration, reception, or service. Experience in office support, business support, legal administration, or IP administration is a plus. You appreciate a role where no two days are the same and where you switch between practical matters, administration, and contact with colleagues, clients, and suppliers. You are collaborative but also comfortable working independently and taking your own initiative. We would also like to see that you: · have good knowledge of Microsoft Office and are comfortable working in different digital systems · quickly learn new systems and have an organized and thorough working style · have good communication skills and a professional, service-oriented approach · have very good knowledge of Swedish and English, both spoken and written Experience with docketing, IPMS, or other case management systems is particularly valuable but not required – you will receive the introduction and training needed for the role.
