The Office for Technology and Natural Sciences consists of approximately 60 employees and is organized into five units. This position is located within the unit for operations and management support. The unit, like the office as a whole, is part of the university administration but receives the majority of its mandate through the Faculty Board. The unit is responsible for operations and management support in areas including employment and promotion matters, equal opportunities and safety issues, referral handling, operations planning, budgeting and monitoring. The unit also handles matters at the faculty level directed to institutions, the faculty's preparatory and decision-making bodies and leadership within the faculty. In addition to this, the unit's mandate includes collaborating with other departments at the university administration in preparing matters and participating in investigations and referrals at the university-wide level. We are looking for someone who can combine an understanding of regulations and legally secure processes with a solution-oriented and consultative approach. Job Responsibilities The work involves independently handling and coordinating recruitment and promotion matters and providing qualified support and advice on these issues to the faculty's leadership and institutions. You need to be able to engage with complex issues, make independent assessments and translate regulations and principles into practically functioning solutions. The work requires you to collaborate closely with colleagues and various levels within the organization. The role includes, among other things: independently handle and coordinate recruitment and promotion matters provide qualified advice to deans, faculty leadership and institutions on matters concerning recruitment, employment processes and regulations prepare matters and produce decision-making materials, statements and other qualified written documents provide qualified administrative and secretarial support to the faculty's employment committee and other preparatory and decision-making bodies, including planning and coordination of matters, meetings and interviews, minute-taking and expedition of decisions contribute to the development and quality assurance of routines, processes and working methods within the recruitment area Other tasks at the office may also occur. Qualification Requirements We are looking for someone who has at least three years of university or college education in an area that the employer deems relevant to the position, or equivalent competence at least a couple of years of current experience in qualified administrative work, with independent responsibility for matters experience working on preparing and formulating written materials in Swedish, such as decision-making materials, statements or minutes experience working in public administration or other rule-governed activities, where you have applied administrative law principles and other relevant regulations in practice experience in a role where you have independently provided advice and support on complex matters very good ability to express yourself in speech and writing in both Swedish and English good digital skills and good knowledge of Office applications Great emphasis will be placed on personal suitability. You are organized, responsible and have good judgment. You are confident in making independent assessments even in matters where the answer is not obvious and can weigh together regulations, practice and the organization's needs. You have a solution-oriented and consultative approach and can explain in a pedagogical manner both possibilities and limitations to people with different roles and backgrounds. The role requires that you can build trust and collaborate well with both academic representatives and administrative staff. You are responsive to the organization's needs, while maintaining integrity and being able to stand behind professional assessments. You have good ability to plan and prioritize your work and can handle periods of high workload and many parallel matters.
