Do you want to work close to major decisions, hold important matters together, and create the conditions for better business? We are now looking for an Executive Coordinator who will work closely with our CEO and management team.
Your Role As an Executive Coordinator, you will be a close support to our CEO and an important part of making the day-to-day operations around the CEO and management function effectively. You create structure and contribute to forward planning, drive activities toward goals, and ensure that the right things happen at the right time.
You are responsible for parts of the CEO's calendar and correspondence, and plan and coordinate meetings and travel. You help prioritize incoming matters, gather and quality-assure materials, and ensure the CEO has the right information ahead of important meetings and decisions. The role also includes ongoing administration related to the CEO and management, such as document management.
You also coordinate the work around the management team. This includes preparing agendas and materials, documenting meetings and decisions, and following up on activities. In this way, you contribute to structure and progress between meetings as well.
As an Executive Coordinator, you will become an important point of contact both within and outside Sunpine. You have ongoing contact with customers, owners, and other external stakeholders and are responsible for coordinating important visits and activities. You are part of the HR team and report to the HR Manager. You will also work closely with our communications function, including in connection with management communications, internal activities, and information events.
Who Do We Seek? This is a role for you who want to work close to management and gain a deep understanding of how companies are run and developed. Through close collaboration with the CEO and management, you gain insight into many parts of Sunpine and encounter matters ranging from daily operations to important business deals and long-term strategic choices. With that understanding, you can work proactively, make your own prioritizations, and identify things that need to be handled—before anyone has had to ask you.
At the same time, you get to work in an industry in transition. Energy transition, reduced carbon emissions, and the need for alternatives to fossil raw materials are matters that affect both our business and our customers'. As part of Preem, Sunpine is also part of a global operation, with international contacts and collaborations.
The role gives you significant responsibility and the opportunity to gradually take on greater responsibility as you become familiar with the business.
We are looking for you who have experience with qualified administrative work or management support. Experience working close to a CEO or other senior management is a plus, as is experience from international operations and project management.
In this role, language is an important work tool. You will handle correspondence, meeting materials, and documentation, and have contact with people both within and outside Sunpine. Therefore, you need to be able to express yourself clearly and professionally, and communicate freely in Swedish and English both verbally and in writing.
You have excellent digital skills and are experienced working in Microsoft 365 and other digital work tools.
As a person, you are well-organized, self-driven, and proactive. You can manage many parallel matters without losing sight of the big picture, and have the ability to determine what is important now, what can wait, and what needs to be followed up on. At the same time, you are unpretentious and prepared to take on both major and minor matters when needed.
Work location is Piteå and this is a permanent position.
