We are now seeking a Documentation Specialist for an international Life Science/medical device company with operations in Uppsala. You will become part of the Quality & Logistics team and play an important role in ensuring that complete, accurate, and quality-assured documentation is in place throughout the various phases of projects and before delivery to the customer. As a Documentation Specialist, you are responsible for collecting, reviewing, compiling, and distributing project documentation. You work closely with both internal and external partners and maintain ongoing contact with project managers, engineers, quality personnel, production, suppliers, and customers. You will join an experienced team with expertise in documentation, quality, inspection, logistics, and warehouse management. The team is characterized by close collaboration, knowledge sharing, and a service-oriented approach. The operations are international and you will regularly collaborate with colleagues, suppliers, and customers from different countries and cultures. The role suits you if you enjoy combining documentation, coordination, and quality assurance, and if you are comfortable managing multiple parallel projects and deadlines. Key Responsibilities: Handle and ensure quality of technical product and project documentation. Collect, review, and compile documentation packages for customer delivery. Coordinate document deliveries and ensure that documentation is complete and traceable. Review supplier documentation and follow up on any deficiencies or errors. Handle documentation such as material certificates, surface finish measurements, welding documentation, operating instructions, and component manuals. Ensure that documentation meets customer, industry, and regulatory requirements. Support documentation work at project milestones such as FAT, release, delivery, and project closure. Maintain ongoing dialogue with internal functions and suppliers regarding documentation status. Contribute to improvements in documentation processes and digital workflows. WHAT WE ARE LOOKING FOR Understand and have experience with Good Documentation Practices (GDP). Have experience working with technical and/or regulated documentation. Have excellent administrative skills and are accustomed to planning and organizing your work. Have good system knowledge and easily grasp new IT systems and digital tools. Have excellent English language skills, both spoken and written. Have good Swedish language skills, both spoken and written. Have strong communication skills and enjoy collaborating with different functions and stakeholders. Have the ability to prioritize and manage multiple parallel tasks and deadlines. Experience with technical documentation, supplier documentation, and documentation work within a regulated business is particularly relevant for this role. As a person, you are meticulous, self-driven, and service-oriented. You have a clear customer focus and take responsibility for driving your tasks forward while ensuring high quality in every detail. We believe you are a solution-oriented person who thrives on collaboration but also feels comfortable independently following up on documentation and taking initiative when something is missing. You easily prioritize when multiple deadlines overlap and communicate clearly with both internal and external parties.
