Archivist at AcadeMedia We are looking for you to help us create modern document management that serves as a model for other school operations in Sweden. Welcome to AcadeMedia! About the role The archivist role is brand new at AcadeMedia. The role is part of AcadeMedia's central support functions and is part of AcadeMedia's initiative to meet new requirements placed on independent school principals through the implementation of the public access principle on January 1, 2027. In this role, you will be part of implementing the public access principle across all of AcadeMedia. You will help create new working methods and procedures together with all of our different school forms to ensure that AcadeMedia's school principals work efficiently and supportively across the entire organization. As an archivist, you will have great opportunities to shape the role and create a function using the latest technology and AI together with engaged and future-oriented colleagues. Initially, you will work together with a records officer to analyze the current state of document management and propose new working methods and procedures. Over time, you will take on a more supportive role toward schools and school leaders, which means you need to be proactive and outward-facing with the ability to support AcadeMedia's operations on document management issues. As an archivist, you will play an important role in AcadeMedia's work with management systems for information handling, information assessment, retention appraisals, archiving, and staff training. This is a central role in establishing requirements for the procurement of a new record management system. You will have special responsibility for ensuring that our archive management complies with applicable laws and regulations and that sensitive information is handled appropriately. Daily work will involve close collaboration with both internal and external stakeholders. The role includes some travel to AcadeMedia's schools across the country. Key responsibilities: Develop AcadeMedia's school principals' archive function Conduct retention appraisals Assess information values Maintain AcadeMedia's management system for information handling Contribute to knowledge development in the organization regarding document management and preservation of records Training initiatives in archive and information management Participate in developing procedures and processes for document management Ensure that records are handled in accordance with the Public Access to Information and Secrecy Act The role reports to the Chief Legal Officer at the corporate level. The position is a permanent full-time employment based in Stockholm. AcadeMedia applies a 6-month probationary period. Business travel is included in the role. Start date by agreement. We are looking for you with the following experience and capabilities: Requirements Academic degree of at least 180 credits in archival science or other education that the employer deems equivalent At least three years of experience working as an archivist Understanding of how digital workflows affect a document's lifecycle Current experience working with electronic information management Very good knowledge of the public access principle (the Freedom of the Press Act, the Public Access to Information and Secrecy Act, and the Administrative Procedure Act) Ability to quickly assess whether a document is public Knowledge of record-keeping, archive reporting, and process-based archive creation Very good ability to express yourself orally and in writing in Swedish, linguistic accuracy, and ability to write concisely Meritorious qualifications Experience from the education sector Experience with training in record-keeping, information and case management Experience working with record-keeping in commonly used document and case management systems Experience and competence with AI-based technology capabilities Work with IT archiving You are welcome to a dynamic and pleasant work environment with driven and engaged colleagues!
