About the RoleAs an operations manager in staffing and vehicle planning, you'll play a central role in keeping our daily operations running smoothly. You'll be responsible for planning and allocating work shifts, managing staffing changes, and coordinating vehicles within set parameters. By creating structure, forward planning, and the right conditions for operations, you ensure the right staff are in the right place at the right time. By staying one step ahead, you'll enable the operations manager and other team leads to focus on personnel management, results, and daily operations. This role does not have formal personnel management responsibility. This is a role for someone who enjoys having a complete overview, thrives with forward planning, and is confident in quickly adjusting when conditions change. Sick leave, vacancies, and vehicle breakdowns are a natural part of the day-to-day, and here you'll use your problem-solving skills to find solutions that work—without losing sight of the bigger picture, regulations, or cost perspectives. Responsibilities Manage staffing and capacity planning primarily for parking attendants, and when needed, technicians and other operational functions. You'll develop and maintain master schedules and rolling schedules, forecasts, and plan vacation and other known absences. Quality-assure and publish schedules, and manage changes, absences, and vacancies through reallocation, extra shifts, and bringing in temporary staff. Ensure planning complies with labor laws, collective agreements, and local regulations, and that the right skills, qualifications, and vehicles are assigned to planned shifts. Monitor timesheets, absences, and payroll records, and keep relevant personnel information, qualifications, and training records up to date. Handle vehicle planning and administration, including maintenance, inspections, repairs, damage claims, and replacement vehicles. You'll monitor vehicle status and ensure unsafe vehicles are taken out of service. Support recruitment and onboarding of new operational staff. About YouWe're looking for someone with relevant upper secondary education and documented experience with independent scheduling or staffing planning in shift-based or other complex operations. You're confident working independently, distributing and prioritizing your work within given parameters. You have strong experience with planning systems, good financial understanding, and are comfortable working in Excel. You enjoy working methodically with large amounts of information, details, and data quality. You can practically apply labor laws and other conditions regulated by collective agreements, and can identify and prevent regulatory conflicts before they arise. You communicate very well in Swedish, both verbally and in writing, and are clear, factual, and respectful even when delivering difficult messages. As a person, you're organized, analytical, and have good forward planning skills. You enjoy creating order, see what needs to be done, and take responsibility for getting things completed. When conditions change, you can prioritize, make decisions, and find solutions even under pressure—while maintaining the bigger picture. You have integrity, are thorough, and follow up on details to completion. You're also someone who enjoys contributing ideas and seeing opportunities to develop and improve work processes. You're expected to have a class B driver's license, as you'll handle our vehicles in this role, and must be able to work on-site at our office in Partille.
