Unit for Collaboration and Development Are you a responsible and meticulous person with strong IT skills who ensures things get done through good planning, organization, and teamwork? Do you want to play a key role in creating and maintaining effective administrative processes and workflows in a collaborative organization? We are now seeking a skilled administrator with initiative for a temporary position. About the job As an administrator at the Unit for Collaboration and Development, you are a key person who contributes to both quality and resource-efficient operations as well as a good work environment for staff and positive external relations. You do this by: Independently managing and, in collaboration with colleagues, developing appropriate, quality, and resource-efficient administrative processes and workflows. For example, in: - Project management including administration of funding calls, applications, agreements with external parties, and project reporting. - Member and customer registry management for our collaboration platforms SLU Partnerskap Alnarp and Movium Partnerskap. Lending of event materials. Providing managerial support with special responsibility for internal meetings, staff activities, physical work environment, and fire safety. You will, as needed, work with onboarding and offboarding of new employees. You will participate in the local collaboration group. Planning and administering orders, purchases, and package management in certain areas, such as office supplies, refreshments, and furniture. Where applicable, you will also request quotes and conduct minor procurement processes. Providing administrative support at meetings, conferences, and events conducted in Swedish and/or English. Examples of tasks may include booking venues, administering meeting notices/registrations, and taking meeting notes/keeping minutes. You will work closely with the other staff members of the unit, especially the unit manager, the operations manager for SLU Partnerskap Alnarp, and the finance function. SLU is a large organization and you will receive good support in your work from other administrative units and departments and SLU's various systems. Your manager is the unit manager of the Unit for Collaboration and Development. Your background Requirements for the position: - We are looking for someone with education relevant to the position with a degree from at least upper secondary school level or equivalent. - You have at least one year of experience with independent work on administrative processes and workflows. Examples of areas relevant to the position include customer/member and project management and procurement. - Good user skills in Microsoft 365, including the ability to independently work in and, when needed, use advanced functions in Excel, Teams, SharePoint, Outlook, PowerPoint, and Word. - Good ability to understand and use IT-based solutions. - Good ability to manage and structure data and information in databases. - Proven good collaboration skills. Since we operate in an international environment, good ability to express yourself both verbally and in writing in both Swedish and English is required. You are a self-driven, responsible, and meticulous person who gets things done through good planning, organization/structure, and teamwork. You enjoy and can handle having multiple different tasks ongoing simultaneously. You possess initiative and flexibility and can adapt your working methods to achieve the organization's overarching goals. Great weight will be placed on personal suitability. Merits for the position: - Experience of independently and successfully managing administrative processes and workflows, preferably in customer/member and project management. - Experience with and knowledge of administrative work in the area of physical work environment. - Academic degree and/or own experience of studies and/or work at a university/college or other complex organization.
