You will become an important part of the property management organization and work closely with managers, colleagues, and other functions in the business. The position is located in Piteå and you report to the property management director. About the Position As an administrative property manager, your primary task is to support the property management director and building caretakers in the administrative aspects of property management. You function as a coordinating link between operations, regulatory requirements, documentation, follow-up, and internal working methods. The role also involves supporting operational management matters. We are looking for someone who is organized, takes responsibility, and is confident in driving administrative processes from need to implementation and follow-up. You have a strong ability to bring order to complex information, juggle multiple parallel issues, and collaborate with different functions in the organization. Your Responsibilities • Manage coordination, annual follow-up, measures, and documentation for areas including fire safety, electrical safety, playgrounds, chemicals, shelters, alarms, elevators, and cameras. • Follow up on inspection reports and ensure that measures, documentation, and responsibility distribution are handled in a structured manner. • Coordinate matters related to vehicles, driving logs, trailers, and phones. • Lead, follow up on, and document the property management's work with crisis management and business continuity. • Perform administrative and information-gathering tasks related to procurement and framework agreements and participate in developing procurement documentation. • Contribute to damage prevention work and be the contact person for insurance matters. • Administer, structure, and develop procedures for building caretakers. • Work with Momentum property management system and Momentum BI by structuring rounds, optimizing usage, and producing relevant statistics. • Structure and keep the property management's shared documentation and registers up to date, such as property lists, areas, and building components. • Catch new regulatory requirements and ensure that warranties and maintenance instructions are handled upon completion of projects and handovers. • Analyze results from tenant surveys and contribute to the basis for improvement work. • Support the management and director in strategic work and participate in building caretaker meetings, safety committee, yard group meetings, and conferences. • Investigate questions that need clarification and present materials for management group and investment council. • Participate in viewings of properties for sale and lead presentations at, for example, staff days, yard group conferences, and in some cases board meetings. • Operational management role during director absence Who Are You? • Experience in administrative work, property management, public sector, or other regulated operations. • Experience working with documentation, follow-up, procedures, and quality assurance. • Good digital skills and ability to structure information in systems and shared workspaces. • Good ability to express yourself orally and in writing in Swedish. • Understanding of regulatory requirements, work environment, safety, or technical property management. • Experience in a coordinating role where you function as support, driving force, and link between different parts of the business. Meritorious • Experience working with fire safety, electrical safety, alarms, elevators, playgrounds, chemicals, or other regulatory-controlled areas. • Experience with systematic occupational health and safety work, crisis management, or continuity planning. • Experience with procurement, framework agreements, insurance matters, or damage prevention work. • Experience with Momentum property management system, AktivBo, or similar systems and follow-up tools. • Experience presenting and reporting to groups.
