Administrator - Fixed-Term Position

Job Description We are seeking an administrator for a fixed-term position to support our other administrators with administrative, service, and practical tasks. The Administrative Unit holds a central and important role within the Institution, and as an administrator with us you will have numerous contact points both internally and externally. You are expected to serve as the institution's registrar, work with document management and archiving. You will also handle common personnel administration tasks such as registering payroll matters and creating employment contracts, managing employment preference rights, etc. You should also be able to substitute for/support the finance administrator in specifically designated work tasks, such as administration of company cards. You will also periodically assist with ordering and fitting personnel work uniforms, as well as making certain other purchases for the institution and handling all invoicing related to this. You have shared responsibility with the system administrator/custodian and our practical administrator to plan for and ensure maintenance of our vehicles is carried out. This includes booking tire changes, repairs, and service and ensuring vehicles are dropped off and picked up at the workshop. Qualifications To thrive in this role, you need to be service-oriented, practically minded, and enjoy taking your own initiative. You need to enjoy having contact with different types of people/functions, from entrepreneurs to managers. You treat your fellow humans with warmth and empathy. The position requires at minimum completed upper secondary education; meriting is education focused on an administration-related field or other education that the employer deems equivalent. Great emphasis will be placed on personal suitability. Experience from service/purchasing/administration professions is meriting. Experience working within a state authority is meriting. As an administrative assistant/facilities maintenance staff, you will primarily perform facility maintenance in parts of the institution and work to increase environmental awareness at Folåsa Youth Home. We are looking for someone with knowledge and experience in facilities maintenance, excellent customer service skills, and a desire to contribute to creating the best possible environment for our young people. Your responsibilities will include facility maintenance of certain common areas, our school facilities, conference rooms, and our nursing station, etc. You will also be responsible for ordering hygiene and cleaning supplies for the entire institution, receiving orders, and handling invoicing as part of this work. When needed, you may also need to support your colleagues with assigned tasks during peak work periods. Within the administrative unit, we support and help each other even outside our own areas of responsibility when needed. Qualifications The position requires at least a high school diploma, and it is desirable if you have some form of documented training in facilities maintenance. You have a good ability to absorb both verbal and written information. The position requires you to be service-oriented, flexible, and have good collaboration skills and quality awareness in order to provide the best possible care to our clients. Experience in the profession is required, and experience from work in government/public operations and institutional environments is desirable.
