Project Team Assistant – Grants & Back Office
We are looking for a reliable and practical-minded colleague to join our team, who will provide administrative and organizational support to our grants team and help with the day-to-day operations of our office. The work is diverse – you will complete individual tasks according to project managers' assignments, work with documents and records, prepare contracts, purchase orders, invoicing and accounting documentation, and ensure that the office environment runs smoothly. WHAT WILL YOU DO WITH US? • provide administrative and organizational support to the grants team on individual projects; • compile, record and organize documentation in an orderly manner, and work with spreadsheets, databases and electronic systems; • prepare and record purchase orders, contracts, invoicing and accounting documentation; • work primarily in Word, Excel, Outlook and PowerPoint; • search for and process information and use modern digital tools including basic AI work; • manage routine back office tasks – office supplies, inventory, refreshments, kitchen facilities and meeting rooms; • prepare refreshments and necessary facilities for business meetings; • depending on your experience, you can also get involved in marketing, social media or website management. WHO ARE WE LOOKING FOR? • minimum secondary education with a diploma and very good PC skills, especially Word and Excel; • excellent Czech, good general knowledge and a sense for working with information; • careful, reliable, thorough and able to work independently; • ability to organize your work, set priorities and meet deadlines; • thoughtful approach to assigned tasks, pleasant and professional demeanor; • openness to new technologies and the ability or willingness to meaningfully use artificial intelligence in your work; • group B driving license.
