We are now seeking registrars for the Service Department with placement in the Disclosure Matters & Information Services unit in Stockholm. With us, you will develop and gain valuable life experience together with engaged and friendly colleagues. The main activities of the Registry consist of receiving, filing, archiving, and managing police documents. The role also includes developing information management within the police. The registrars provide specialist expertise in receiving and filing incoming and created documents. Some tasks are closely tied to police operations, while others focus on development in collaboration with other departments within the agency. Job Description As a registrar, you are part of the Police Authority's hub for filing, assessing, completing, and distributing cases. As a registrar, you provide important operational support to the Police Authority's management of public documents. You are responsible for maintaining efficient and lawful filing procedures and are experienced with digital case and document management systems. The role involves verbal and written contact with both the public and colleagues within the agency. You are expected to continuously work with colleagues to quality assure and improve the filing of public documents, and to use your pedagogical skills to inform and support staff members in filing procedures. You handle certain cases involving disclosure of public documents and information about personal data processing. Other tasks related to the unit's mission may also be included in your duties. Travel for work purposes may occur. Your tasks will partly consist of: participating in mail opening distributing incoming postal mail and email filing in the police's digital case and document management system locating cases for colleagues within the Police Authority supporting colleagues internally with your expertise providing customer service to the public, including by phone and email handling certain cases involving disclosure of public documents and information about personal data processing continuously quality assuring and improving the filing of public documents together with colleagues informing and training colleagues in filing procedures and management of public documents This is an opportunity for you if you have: high school diploma or equivalent education that the employer deems relevant for the field relevant education such as registrar training, or alternatively at least one year of recent acquired work experience that the employer deems relevant very good knowledge of Swedish in speech and writing good ability to express yourself in English in speech and writing very good experience with IT-based case and document management systems Swedish citizenship We consider it meritorious if you also have: experience with similar work in public administration in the recent past that the employer deems relevant, preferably within the Police Authority good familiarity with the Office suite education on laws and regulations governing public operations and the registrar function's areas of responsibility, or equivalent recent work experience that the employer deems relevant experience working with quality assurance of information experience with police systems relevant to the tasks Personal Qualities To succeed and thrive in the registrar role, in a work environment that periodically has high workload, you must have a structured work approach, the ability to prioritize, and keep quality in focus. You need to be able to work independently while also having good collaboration skills. Furthermore, you are expected to take own initiative within given parameters to solve issues that arise, and we therefore see that you are solution-oriented.
