Description
The Case Management Unit at the City Planning Administration is responsible for ensuring secure and long-term information management as well as administering and quality assuring case and board processes. In addition to board secretaries, the unit employs case controllers, archivists, and two development managers in information management and information security respectively. We are a team that works together, supports each other in our different areas, and shares our knowledge.
Responsibilities
As a Board Secretary at the City Planning Administration, you play a central role in the political case process. You are responsible for planning, administering, and coordinating the board process. This includes tasks such as compiling and distributing meeting notices and documents, writing minutes, registering documents in the case management system, and dispatching decisions. Your role also involves monitoring that cases are brought up for decision and quality-checking the decision materials submitted to the board. You maintain close contact with our elected representatives in the board as well as with case handlers, managers, and staff at the administration to ensure a well-functioning board process. As a Board Secretary, you are expected to contribute to developing and improving case management at the administration through continuous work on simplifications, efficiency improvements, and increased quality. This includes reviewing procedures and developing guidelines to improve our working methods.
Qualifications
We are looking for someone with a university or college degree in law, political science, public administration, or another qualification that the employer deems equivalent. You have at least one year of work experience as a board or municipal secretary and have good knowledge of administrative law and public access and confidentiality legislation. Experience with the case management system Ciceron and knowledge of the Planning and Building Act are merits. It is also an asset if you have experience giving oral presentations and training within this field.
You have excellent ability to express yourself both orally and in writing and can adapt your language to your audience and context. You have good digital competence and are accustomed to working with various digital tools. Furthermore, you work in a structured manner and can handle several parallel processes simultaneously while maintaining high quality in your work even during periods of high activity. You work with a service-oriented approach and are comfortable taking responsibility and solving problems. Since the City Planning Administration handles a very large case flow, you are thorough, organized, and ensure that tasks are completed efficiently and on time.
