Fire Safety and Civil Protection College (Ķengaraga iela 3/1, Rīgā, LV – 1063, Reg. No. 90000048203) invites applications for the position of Senior Specialist in Personnel and Document Management (position code 3341 04) on an indefinite-term basis Key responsibilities: organize document management in compliance with records management requirements; ensure effective information and document flow; coordinate document submissions to college management via the Document Management System "Namejs" (DMS "Namejs"); forward documents to recipients in accordance with management directives; review document drafts developed (registered) by the college and halt their further circulation if they do not comply with regulatory requirements; register documents in DMS "Namejs" in accordance with the document classification scheme; prepare document drafts and monitor document execution deadlines; handle incoming calls to the college phone numbers 67803504 and 27870909; provide relevant information within your area of competence; prepare work schedules and maintain time records for college management, department heads, sector and division heads; compile the college's annual work plan and annual public report based on suggestions from college structural unit heads; monitor the execution of the college's work plan and prepare quarterly reports on work plan implementation; prepare certified copies, excerpts or duplicates of documents and ensure their authentication; develop, coordinate the document classification scheme and submit it for approval by the college director; create and maintain document files in accordance with the document classification scheme; manage the college's archive, ensuring proper archival of college documents in compliance with regulatory requirements; coordinate the college's document classification scheme with the National Archives of Latvia in accordance with regulatory requirements; prepare, format, deliver and submit outgoing correspondence postal registers to Latvia Post; support college management and advise college staff on document formatting and circulation.
