Skånes Kommuner is a politically governed membership organization representing the 33 municipalities of Skåne, with a board consisting of politicians from member municipalities. The organization's mission is to coordinate, collaborate, and serve as a common voice for Skåne so that municipalities can benefit from their combined strength. Skånes Kommuner is now building a new management structure consisting of a federation director, head of administration, department heads, and functional managers for IT, finance, and procurement. The assignment is to structure, develop, and ensure quality in the organization's internal and external processes, as well as create conditions for effective support to member municipalities. As a Federation Administrator at Skånes Kommuner, you have a central and operations-focused role where you contribute to creating structure, quality, and efficiency in daily work. RESPONSIBILITIES As Federation Administrator, you are responsible for providing qualified administrative support to operations and ensuring effective and appropriate administrative processes. The role includes coordination, planning, follow-up, and development of routines and working methods that support the organization's goals and needs. You support management, departments, working groups, and networks, and coordinate meetings, training, conferences, and other activities. The assignment includes responsibility for registry and records management functions, ensuring that documents and records are handled correctly and in compliance with applicable regulations, as well as follow-up of administrative decisions and preparation of reports, statistics, and presentation materials. You are also responsible for office and facility administration, including service matters, problem reports, and contacts with property owners and suppliers. You serve as the contact person for the workplace's practical services and systematic fire safety work, and coordinate the introduction of new employees. An important part of the role is administrative communication. You produce and publish information on the website, intranet, and other digital platforms, and support operations with newsletters, mailings, presentations, and information materials. You coordinate communication efforts for meetings, training, and other activities, and contribute to internal communication by highlighting the organization's work, results, and best practices. The role also involves contributing to smarter and more efficient working methods through digitalization, automation, and development of administrative processes. You identify processes that can be simplified and participate in developing digital workflows within Microsoft 365. You report to the head of administration and work closely with management, operations coordinators, networks, and other collaborative forums. QUALIFICATIONS To succeed in this role, we believe you are an experienced administrator with a genuine interest in service, coordination, and business development. You have experience with qualified administrative work and are accustomed to coordinating activities, processes, and contacts between different functions and stakeholders. You express yourself very well in speech and writing and have good experience working with digital tools and system support. We would like to see that you have experience with communication, web publishing, or information dissemination and that you feel comfortable adapting messages for different audiences. You also have an understanding of how administrative processes can be developed and made more efficient with the help of digital solutions. As a person, you are structured, thorough, and self-driven. You find it easy to build good relationships and thrive in a role with many contact points. You are service-oriented, solution-focused, and have the ability to see both details and the bigger picture. At the same time, you are driven to develop working methods and find smarter solutions that create value for the organization. We are looking for someone who has: • Relevant education in administration, communication, or another field that the employer deems equivalent. • Experience with qualified administrative work. • Experience coordinating and organizing meetings, activities, and administrative processes. • Excellent skills in Microsoft 365. • Excellent ability to express yourself verbally and in writing in Swedish. • Experience writing, editing, or publishing information for different audiences. • Ability to work independently, in a structured manner, and with high quality. • Experience with service, facility, or workplace-related matters. It is meritorious if you have experience with: • Public or politically governed operations. • Web publishing, intranet, or digital communication channels. • Project administration or collaboration between different organizations. • AI-based tools such as Microsoft Copilot. • Development and optimization of administrative processes. • Social media, newsletters, or basic graphic production. • Facility management, workplace services, or facility management. • Fire safety, security, or occupational health and safety work. • Supplier contacts, ordering, and service matters.
