Property Coordinator for Immediate Start

Do you want to help build the structure for how a growing organization manages its properties? In collaboration with our partner, we are now seeking a property coordinator where you will play a central role in creating oversight, improving processes, and laying the foundation for long-term property management within the organization. About the RoleOur partner is in a phase where the company's properties and facilities in Sweden need to be mapped and structured administratively. The portfolio includes approximately 12 properties, from Märsta in the north to Malmö in the south, where this role becomes an important link between headquarters, site managers, property owners, suppliers, and where needed, authorities. As a property coordinator, you will work in a project with significant independent responsibility. Your focus will be to gather, structure, and analyze information related to the properties—for example, contracts, costs, energy consumption, security requirements, suppliers, and ongoing activities. You will then translate this material into clear decision-making bases, working methods, and structures that the organization can continue to work with after the project concludes. You will initially get to know the business and visit the organization's various sites together with the team. After that, you are expected to independently drive data collection, coordinate contact points, and propose next steps based on the insights you gather. Your tasks will include: Mapping properties, facilities, contracts, and costs related to operations and maintenance. Compiling and analyzing data regarding, for example, energy, electricity, cleaning, alarms, waste, and other operational costs. Identifying requirements, controls, and responsibility distribution in collaboration with property owners, suppliers, and authorities. Mapping and evaluating existing suppliers and contributing with information for future supplier selection and contract negotiations. Conducting or coordinating risk assessments linked to the properties, for example, security and climate risks. Developing common working methods, standards, and an annual schedule for local and central activities. Creating structures for monitoring energy, consumption, and costs. Presenting analyses and recommendations that give the organization a clear decision-making basis for the continued work. We Are Looking for YouWho: Have relevant education from a college or university, for example related to property management. Are early in your career but have some form of experience from the property sector, for example within property maintenance, property management, technical management, property-related project management, or related areas. Communicate fluently in Swedish and English, both verbally and in writing. Hold a B driver's license and have the ability to travel on business (within Sweden, weekly/every other week). To succeed in this role, you are structured, proactive, and comfortable driving matters forward. You thrive in a role where the conditions are not always given, but where you get to create order, follow up, and build functioning structures from the ground up. You find it easy to collaborate with people with different perspectives and roles. At the same time, you are confident enough to ask questions, follow up when information is missing, and handle conversations where there may be different viewpoints. You are attentive and unpretentious, but also action-oriented and clear in your communication style. About the PositionThis is a consulting assignment where you will be employed by OIO and work with our client. The assignment is initially for 6 months with good opportunity for extension for an additional 6 months.
