Description of the Workplace The School of Arts Chancellor's Office consists of ten employees and is centrally located in Malmö, a stone's throw from Möllevångstorget. The office provides support to the faculty leadership and institutions regarding education, research, economics, HR, and communications, among other areas. The office's main mission is to: Provide operational and strategic support to the faculty's leadership, institutions, committees, and other operations, thereby contributing to the faculty's overall objectives Monitor the external environment, analyze developments, and initiate measures in response to operational needs and external demands and expectations Prepare decision-making documents and contribute to the implementation of decisions Report back to the university and other relevant stakeholders Contribute to, support, and follow up on regulatory compliance Serve as a link between the institutions, the faculty, and the university We fulfill this mission by: Listening carefully based on operational needs Maintaining integrity and a high professional standard Being proactive in developing the faculty's operations Contributing to continuity by developing structures and processes For more information, please visit the School of Arts website. Tasks and Areas of Responsibility We are now seeking a faculty coordinator with a sense of the bigger picture and an eye for detail. The faculty coordinator will work broadly with administration at the faculty office. The main tasks and areas of responsibility are: Administrator and secretary for the Prefect Forum and Faculty Board, including responsibility for notices, compilations, and dispatch of documents and minutes. The coordinator contributes to the preparation of matters and decision-making documents. Registrar for the faculty, which includes record-keeping, archiving, document management, and disclosure of public documents, as well as serving as the faculty's representative on data protection matters Responsibility for the process of updating the faculty's Rules of Operation and Delegation Administrative responsibility for election matters at the faculty and administrative support to the nomination committee Administrative responsibility for the management of the faculty's honorary doctors Catalog administrator for the university's system for digital identities and permissions Administrative support to faculty leadership General administrative work, such as booking facilities and travel, and catering for meetings Qualifications Requirements for employment: An academic degree at bachelor's level (180 ECTS) or higher in social sciences, humanities, public administration, or another area deemed equivalent by the employer At least three years of experience in qualified administrative work in the public sector, including experience in preparing decision-making documents, keeping minutes for boards and/or committees, and managing meeting administration Experience in administrative management support Very good computer and IT skills Very good ability to express yourself in Swedish, both orally and in writing Good ability to express yourself in English, both orally and in writing As a person, you are flexible, efficient, and proactive. You are quality-conscious, detail-oriented, and able to organize your work independently. It is self-evident to you to be service-oriented and to want to develop yourself and the operation. You have good communication skills and value good collaboration with colleagues and management. Great emphasis will be placed on personal competencies. Start date December 1, 2026, or by agreement. Interviews are planned to be held during weeks 40-42. The university applies individual salary setting. The School of Arts in Malmö is one of nine faculties within Lund University and consists of the Schools of Fine Arts, Music, and Theater, as well as Inter Arts Center. At the School of Arts, there are bachelor's, master's, and postgraduate programs in fine arts, music, and theater, as well as a number of courses of varying scope. Research and doctoral education with an artistic focus and in music pedagogy are also conducted here.
