About the Swedish Prison and Probation Service The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now seeking additional staff members. Our most important goal is to reduce recidivism – to break the cycle of crime. When we succeed, society becomes safer and more secure for everyone. We are the authority responsible for prisons, probation services, remand facilities, and inmate transportation. The Umeå Operations area encompasses the closed prison Umeå, the open prison Sörbyn, and the remand facility Umeå. We are undergoing significant capacity expansion, and there is much happening in the operations area in the form of renovation and new construction. The largest professional group is correctional officers, but we also employ healthcare professionals, administrative staff, educators, production managers, and others. At Sörbyn Prison, inmates are engaged in vocational training, learning centers, various treatment programs, or work in the kitchen, carpentry, plant cultivation, textile production, etc. Sörbyn Prison is an agricultural facility with grain cultivation and animal husbandry. At Umeå Prison, inmates are engaged in wood/industrial work, kitchen operations, learning centers, and treatment programs. Access to Umeå Prison and the remand facility is approximately a 10-minute walk from the nearest bus stop, while Sörbyn Prison is best reached by car. Staff parking is available at all units. We are now seeking an engaged and service-oriented chief administrative assistant with a focus on personnel administration for the Umeå Operations area. You will be an important support to our managers in both daily processes and in longer-term personnel matters. Job Description As a chief administrative assistant, you will serve as the local contact person with the recruitment and staffing unit. You are one of three chief administrative assistants and will be the link between managers, staffing, and recruitment, helping to create a coordinated process. You will be based at Umeå Prison but will also support managers at the Umeå remand facility and Sörbyn Prison, which involves business travel. Together with the management group, you will work on developing strategic planning for the operations area's recruitment needs and long-term competency supply. Your role includes analyzing and mapping training needs and proposing measures to ensure that employees receive appropriate competency development, as well as supporting the planning and implementation of staffing strategy initiatives. Work related to work environment, salary reviews/RALS (individual salary setting), and collaboration with trade unions is part of your role. You will handle administrative tasks such as preparing employment contracts, booking conferences, card administration, and registration in internal systems. Given that the Umeå Operations area is growing, your role may develop over time, and you will have the opportunity to influence the assignment. You also have good analytical skills and can translate complex information into clear decision-making materials. We are looking for someone who has: Complete secondary school education Experience working with competency supply processes (recruitment, training, temporary staffing) Ability to express yourself well in speech and writing in Swedish Good experience working with various types of system support (e.g., HR systems, payroll systems, or decision support systems) Multiple years of experience in a similar role in public sector operations Class B driver's license It is also meritorious to have: Experience in personnel administration Experience supporting managers Experience in a coordinating role involving driving, leading, and maintaining processes with multiple stakeholders Academic education in human resources management or other equivalent academic education combined with relevant experience Other Information The Swedish Prison and Probation Service has chosen to remove the personal letter and replace it with selection questions relevant to the position.
