Now we are looking for an administrator for the guardianship office. THE GUARDIANSHIP BOARD AND OFFICE The Guardianship Board is a municipal authority tasked with supervising guardians, administrators, and trustees. Starting January 1st, the board expands when Flen, Gnesta, Strängnäs, Trosa, and Vingåker municipalities collaborate in a joint Guardianship Board, Guardianship Board Sörmland, with an administrative office in Flen. The Guardianship Office's mission is to support the Guardianship Board and Chief Guardian in implementing goals and strategies, preparing decision-making materials, and conducting oversight. The oversight shall ensure that those who have a representative in the form of a trustee, administrator, or guardian do not suffer legal losses. You will become part of a work team characterized by responsibility, collaboration, flexibility, and high standards for legal security and development. You will also work closely with other administrators and registrars within the organization. The role of administrator is important as it often represents the first step in our case handling process. WORK TASKS/RESPONSIBILITIES Do you enjoy being at the center of things and taking responsibility for your own area? Working with filing, handling all incoming mail in both paper and electronic formats, releasing public records, case monitoring, archive matters, and providing support and advice to colleagues on these issues? Then you should apply for this position! Your work includes assessing, registering, and managing public records at the guardianship office in Flen. You assist with service and support to both the operation and the public, and maintain efficient and legally secure filing with high quality. As an administrator/registrar, you are expected to handle the authority's documents in accordance with applicable legislation, regulations, and internal procedures regarding registration and release of public records. Your responsibilities include ongoing tasks such as mail opening, email handling, filing in case management systems, case monitoring and service of documents, as well as distribution of decisions, service of accounting documents, and work with classified documents. The range of cases coming into the authority spans all areas within guardianship operations. The flow is sometimes high, and a natural part of the work is to continuously prioritize the distribution of your work efforts, individually and together with the work team. You will also be involved in work to develop the operation. FOR THIS ROLE, YOU MUST HAVE: Upper secondary or post-secondary education that the employer considers relevant to the assignment. IT skills, particularly the ability to use various digital tools to achieve efficient case handling Good knowledge of the laws and regulations governing document management, such as the Public Access to Information and Secrecy Act, the Administrative Procedure Act, the Freedom of the Press Ordinance, and the General Data Protection Regulation Good communication skills and you can explain and address questions in a pedagogical manner. Express yourself well in both speech and writing in Swedish WE VALUE THIS HIGHLY Experience working as a registrar or document controller in public administration Experience in administrative work within a guardianship administration or other authority Experience working in digital document and case management systems and knowledge of handling classified information YOUR PERSONAL QUALITIES You are thorough, responsible, and structured in your work approach. You enjoy working with others and actively contribute to good collaboration and a positive atmosphere, while being self-driven and taking responsibility for your tasks.
