About the Position
As an administrative coordinator, you'll have a broad and varied role with significant responsibility. You'll be an important support function for the organization and work closely with both management and staff. Most of your work will be on-site at our centrally located office.
This is a role for someone who enjoys having many contact points and likes the combination of structure, service, and coordination. One day you'll work with document management and minutes, the next day you might plan a conference or help coordinate an appreciated employee event.
Responsibilities
Your tasks include:
• Document management and contract monitoring
• Archive management, disposal, and documentation
• Board administration, including notices, meeting materials, and minutes
• Administrative support for meetings and conferences
• Reception, switchboard, and shared email management
• Travel, conference, and activity booking
• Purchasing and orders for the operation
• Internal communication and administrative coordination tasks
• Planning and coordination of various staff activities and events
Suitable Background
We're looking for someone with:
• Experience with administrative work in a coordinating role
• Experience with document management and archive handling
• Good administrative skills and experience working in a structured manner
• Good knowledge of Swedish, both spoken and written
• Driver's license (category B)
It's a plus if you have:
• Worked in public sector operations, municipal or regional company, authority, or similar
• Experience with case and document management systems such as Public 360
• Experience with board administration and minutes writing
