JOB RESPONSIBILITIES
As an administrator with us, you have a central and important function. Your assignment is to provide the department with comprehensive administrative support that relieves the manager and operations staff, creates structure, and ensures that the right information, materials, and resources are in the right place at the right time. Through your work, you contribute to increased efficiency, a better work environment, and more time for the core mission: managing and developing parks, play areas, and green spaces.
Your main work tasks
Finance and procurement:
- Handle supplier invoices and internal invoicing
- Conduct purchases of equipment, materials, and consumables
- Manage purchasing and inventory of work clothes and protective equipment
- Monitor inventory levels and initiate orders as needed
IT and system support:
- Be the first contact for basic login and system issues
- Coordinate matters with IT support and system administrators
- Support staff in using the department's digital systems
Administration and follow-up:
- Create, update, and revise lists and schedules related to work and personnel
- Coordinate and distribute incoming matters, such as tree requests
- Administer matters on behalf of the manager
- Track staff time registration
Work environment, safety, and chemicals:
- Keep chemical inventories, risk assessments, and safety inspections up to date
- Ensure that documentation is organized and follows current procedures
Logistics and internal service:
- Receive deliveries and ensure proper handling
- When needed, retrieve materials or spare parts that are urgently required
QUALIFICATIONS
We're looking for someone who is structured and solution-oriented, thrives in a supportive, service-focused, and coordinating role with strong self-leadership. You like order and organization, collaborate easily, and enjoy being the person who makes the whole thing work. A clever problem solver who likes to think outside the box and can see development opportunities.
To both enjoy the role and have the right conditions for the assignment, you need to have a high school diploma, several years of experience in administration, good knowledge of the Office suite, high digital proficiency, and experience with digital systems. You also need good Swedish language skills, both spoken and written, as well as a B-category driver's license. We would also like to see experience in invoice handling and purchasing.
You will work in the green sector, but green fingers are not a must. However, we need a green interest and commitment to sustainability to understand and develop our operations! Above all, you share our values of commitment to sustainability, public benefit, and a well-functioning everyday life for both colleagues and residents.
