About Sjukhusläkarna Sjukhusläkarna is Sweden's largest physician professional association within the Swedish Medical Association, with approximately 23,000 members. We represent specialist-trained hospital physicians in regional, private, and state sectors, including lecturers and professors at medical faculties. Our mission is to represent our members' professional, social, and economic interests. The office is the heart of the association and currently consists of an office manager and a communications officer. Sjukhusläkarna's office is located together with the Swedish Medical Association's office and the Swedish Medical Journal's editorial team on Villagatan in central Stockholm. About the Office Manager Role As office manager, you have overall responsibility for driving the association's internal administration, finance, and structure forward. You work in close collaboration with Sjukhusläkarna's communications officer as well as the board's presidium and members. The role is highly varied and personally developing, where you alternate between strategic oversight and operational execution. Key Responsibilities Finance and Administration: Invoice processing (coding and approval), ongoing contact with accounting firm and bank, preparation of financial reports for the board's presidium, and management of budget and scholarships, etc. Board and Local Chapters: Serve as secretary for the board, manage meetings, membership statistics, some archiving, and be the contact for members and local chapters. Meetings and Events: Plan and organize board meetings, larger meetings with 50-70 participants, and seminars in collaboration with the association's communications officer. Twice a year, a 3-5 day board meeting is held in a location other than Stockholm. Digital Management: Ongoing updates and administration of the association's website, digital tools, member registry, etc. Member Communication: Compile and edit the annual report, manage branded products, support for local chapters, etc. Sjukhusläkaren Magazine: Contact with editorial staff, printing company, and others, as well as administration and finance management of our member magazine. Who Are You? We're looking for someone who is a confident and experienced organizer. You have high social competence, are attentive, have good service orientation, and the ability to reprioritize when workload is periodically high. You are self-directed, experienced in taking own initiatives and making independent decisions, while also being an unpretentious team player who enjoys collaboration. Qualifications and Experience Academic degree (preferably in economics, human resources, or political science) or equivalent documented experience in independent administration, organization, and planning work. Experience in financial administration, bookkeeping, and budget management. Experience working in a member-governed or nonprofit organization, with good understanding of democratic processes. Very strong ability to express yourself clearly and eloquently in both speech and writing. Good digital skills: Proficient user of Office 365, website tools (e.g., WordPress), and relevant Adobe programs such as InDesign. A big plus: We would like to see that you have a genuine interest in healthcare policy and labor union issues within the Swedish Medical Association's scope.
