About this position
In your role as Administration Coordinator, you will provide close administrative support to both the head of the operational unit and the operational manager on administrative and coordination matters.
As part of the operational unit, you play an important role in strengthening coordination within the staff area and between the staff area and the operational areas. You contribute to structure, prioritization, and coordination of matters and assignments, and help ensure effective administrative support for operational issues. You work closely with the administrative strategist in the staff area. The role also includes work with case preparation, document management, improvement initiatives, and support to operations.
Your main areas of responsibility:
Support the head of the operational unit and operational manager in management, coordination, and administrative structure in daily work.
Coordinate administrative processes, matters, and information flows within the operational unit.
Provide administrative management support on matters concerning documentation, preparation, and coordination.
Participate in preparation and coordination of materials, matters, and follow-up.
Coordinate document management and contribute to quality-assured procedures in administrative systems and document flows.
Contribute to collaboration with relevant functions within the staff area and other parts of the organization to create good and clear procedures for operational matters.
When needed, assist in coordinating common administrative matters, system support, and forums.

To work more effectively from the perspective of Södra Älvsborgs sjukhus (SÄS), an organizational change has been implemented where operational coordination functions have been organized into a single unit together with other units.
The staff area's task is to work from strategic and operational perspectives regarding effective administration, with the entire SÄS as the client. As part of the whole, the staff works with continuous changes to develop alongside operations. To be responsive to the needs and demands of operations, we need to think with a development orientation, focusing on goals and results.
This role is placed within the operational unit and is an important part of creating close, accessible, and high-quality support in daily operational work.
As part of this, we work to clarify responsibilities, improve coordination, and create better conditions for an efficient flow of matters and assignments. The goal is to contribute to a better work environment, a clearer interface between strategic and operational work, and a more sustainable distribution of administrative matters within the team.
Your profile
We seek candidates with a relevant university or college degree, or other education and experience that the employer considers equivalent. You have experience in administration, coordination, document management, and management support, preferably from public sector operations. The role requires a structured and thorough work approach with strong organizational and prioritization skills. The work involves close collaboration with multiple functions, which requires good communication skills and a service-oriented approach. It is an advantage if you have knowledge of the region's or administration's organization, experience with case management, document management systems and administrative systems, and experience in supporting, coordinating, and developing procedures in complex operations. It is also important that you understand administrative processes and governance, and have the ability to contribute to developing and improving work procedures.
Other information
The position may be placed in a security classification. This means that security clearance and background checks may be conducted in accordance with the Security Protection Act before employment.
