Receptionist at Intendenturen Lagerträdet Intendenturen Lagerträdet is a shared service and support organization for operations at the Evolutionary Biology Centre (EBC) and Geocentrum. Intendenturen coordinates shared support functions and provides service to students, employees, and visitors, with the aim of creating favorable conditions for the university's education and research. We are now seeking a service-oriented and solution-focused employee for a broad and varied role with reception as the main workplace. The role involves many contacts and requires professional conduct and the ability to independently handle and resolve various types of questions. Job Duties The work includes staffing the reception and providing service and information to students, employees, new hires, guests, visitors, and contractors. Contacts occur both through in-person visits and via phone and email, and information is provided in both Swedish and English. The job duties include, among other things: ordering/producing and issuing campus cards/access cards and keys, activating user accounts and performing identity verification, administering access rights to rooms and doors and working in access and card systems, handling and following up on alarms as part of the reception function, handling room bookings and room booking requests, monitoring, handling, and responding to reception emails, performing daily checks of AV equipment in seminar rooms, lecture halls, and auditoriums, administering AV equipment loans and providing AV support in lecture halls, seminar rooms, and auditoriums, including in connection with dissertations, updating information on digital information screens and web pages, handling lost and found items, receiving and handling fault reports, participating in orientation days for students and staff, handling sales of, among other things, branded products and office supplies, working according to current procedures and guidelines, performing ongoing administrative tasks, some financial administration and invoice handling, as well as ordering and purchasing. Class B driver's license An important part of the work is also to contribute to developing, improving, and documenting procedures and working methods. You are expected to independently identify and solve problems that arise in daily work and contribute to a well-functioning service operation. Other relevant service and administrative tasks within the administration may also be included. The work may, if necessary, be located at different service locations within the administration area. Qualification Requirements We are seeking someone who has: at least upper secondary education combined with work experience in reception work, customer service, or equivalent service work that the employer deems relevant for the position. relevant experience in administrative work and/or financial administration, relevant knowledge and experience in technical service and AV support, very good computer skills, including good knowledge of MS Office, and the ability to quickly learn and work in new digital systems, very good skills in Swedish and English and the ability to express yourself well in speech and writing. The work involves many contacts with different groups and nationalities. We are therefore seeking someone who is service-oriented and solution-focused and has a genuine interest in providing good service. You have a professional demeanor, communicate clearly, and can adapt your communication to the situation and recipient. You also have good ability to create and maintain good working relationships. To succeed in the role, you need to be structured and thorough, have good organizational skills, and be able to plan, organize, and prioritize your work. You take responsibility for your tasks, work independently, and take initiative when needed. Furthermore, you have good problem-solving skills and a quality-conscious approach to work. Since the tasks are varied and the workload can fluctuate, you also need to be flexible and able to adapt to the needs of the operation. As the pace can be high at times, it is also important that you have good ability to handle stress. Great weight will be placed on personal suitability.
