The Culture and Recreation Department is now seeking an engaged and development-oriented board secretary and records manager. The Culture and Recreation Department is responsible for activities that create opportunities for culture, sports, outdoor recreation, and meaningful leisure time for people of all ages. Within the department, you will find, among other things, libraries, cultural schools, sports and recreation facilities, association support, as well as culture and event activities. The position is placed in the department's staff, which has the task of providing support to managers and operations in areas such as administration, operations development, economics, and digitalization. Job Responsibilities As a board secretary and records manager, you have a central function in the Culture and Recreation Department's administrative processes. You are responsible for ensuring that the board's case management maintains high quality and is carried out with legal certainty, efficiency, and in a timely manner. You work closely with department management, case handlers, and elected officials and are important support throughout the political decision-making process. The role includes, among other things: - planning, coordinating, and quality assuring the flow of cases before the board - preparing summons, compiling documents, keeping minutes, and dispatching and following up on decisions made - responsibility for records management, case registration, and handling of public documents in accordance with applicable legislation - providing support and guidance to operations on matters relating to case management, public access to information, and confidentiality - contributing to the development of administrative routines and working methods within the department. Qualifications We are looking for you who: - have a relevant academic degree, for example in public administration, political science, law, or other education that the employer deems equivalent - have experience with qualified administrative work within public administration - have a good understanding of public administration, politically governed organizations, and municipal decision-making processes - express yourself very well in speech and writing in Swedish - work independently, in a structured manner, and with high quality. Personal Qualities We are looking for you who have a genuine interest in administration and who enjoy creating structure and order. You are meticulous, responsible, and have a solution-oriented way of working. At the same time, you have the ability to see the whole picture and are driven by developing and improving administrative processes. Since the role involves many contact points, you are service-oriented, communicative, and have a talent for creating good collaboration with managers, case handlers, political representatives, and other support functions. You inspire confidence, work without ego, and maintain composure even when the workload varies or conditions change. Meritorious Qualifications It is advantageous if you have: - education in municipal law, administrative law, or public access to information and confidentiality - experience working with case preparation, board administration, minutes-keeping, records management, case registration, archives, or information management - experience with digital case and document management systems - experience from municipal operations, preferably within culture and recreation or another politically governed organization.
