Job duties include:
1. ensure the organization of the State Police College's (hereinafter – College) archives and be familiar with applicable regulations governing records management and archival practices, ensure compliance with these requirements;
2. monitor the preservation of documents created in structural units until their transfer to the College's archive;
3. provide methodological consultations to structural unit employees on archival matters;
4. perform duties related to document systematization and storage until transfer to the National Archives of Latvia. Perform file binding and relocation;
5. develop and prepare file and document destruction records, coordinate them with the National Archives of Latvia and ensure file destruction;
6. in accordance with regulatory acts, conduct file existence and physical condition inspections and perform periodic file dusting. Regularly record air humidity and temperature readings in a log;
7. ensure accounting and registration of received and internal-use documents, ensure their storage and timely delivery to executors:
7.1. receive, verify and process correspondence, ensure document circulation;
7.2. receive, register outgoing documents, prepare them for delivery to addressees;
7.3. monitor compliance of registered outgoing documents with document development and formatting regulations, if necessary, return them to executors for correction;
7.4. monitor the execution deadlines of received documents;
7.5. additional skill – knowledge of document registration and circulation systems in Namejs;
8. participate in the development of file nomenclatures and other internal legal acts within the scope of the position;
9. execute other directives of the Administrative Department Head and the Senior Records Manager of the Administrative Department's Records Management Group within the scope of the position. Within the scope of the position, participate in commissions and working groups as determined by the College Director's order, prepare document drafts and ensure their implementation.
Education and professional experience required for the position:
- professional secondary education, higher education;
- experience in document management;
- knowledge of archival and records management document organization;
- ability to quickly understand information and respond appropriately;
- continuous professional development to promote higher-quality performance of job duties;
- good computer skills – MS Word, MS Excel; experience with the document management system NAMEJS will be considered.
We offer:
- stable employment in a state institution on a full-time basis (40 hours per week) in Riga, Ezermalas Street 10;
- salary from EUR 1,086 to EUR 1,235 (gross), corresponding to salary group 6 and evaluated according to the criteria for determining an employee's individual monthly salary (taking into account professional qualifications and competencies, work performance and scope of work);
