Varbergs Fastighets AB is now seeking a management coordinator who will be an important part of ensuring that the company's established governance and management practices function effectively in daily operations. 1 position(s). RESPONSIBILITIES As a management coordinator, you will have a central administrative role supporting the CEO, management team, and board in daily work with planning, preparation, and follow-up. You will be an important function in creating structure and continuity in the company's management work and ensure that decisions, activities, and information are handled according to our established practices. The role involves working in the company's existing governance and management processes with a focus on coordinating, administering, following up, and supporting implementation. Through your structure and support, you will free up time for the CEO and managers to focus on strategic issues and business development, while ensuring high quality documentation and materials. You report directly to the CEO and work closely with the company's management team and various operational functions. Your main areas of responsibility are: · Management support and board secretary - Coordinate and administer the work of the management group and board through planning meetings, developing agendas, preparing documentation and other materials, recording minutes, following up on decisions, and coordinating ongoing administrative tasks. · Annual schedule and planning structure - Ensure that management and board work is planned and carried out according to established annual schedules, rules of procedure, and established practices. · Decision support and follow-up - Coordinate collection and compilation of materials for decision-making and support the CEO and managers in ensuring that made decisions are documented, communicated, and followed up in the right forum. · Referrals and municipal-related matters - Support work with referrals, owner directives, and reporting to the municipality by coordinating information and ensuring materials are handled correctly. · Information management and administrative processes - Contribute to the company's administrative structures functioning according to legal requirements and regulations through, for example, management of registers, information inventories, public documents, and other supporting tasks. · Communication and coordination - Ensure that relevant information and decisions are communicated between the company's various governance and management forums and participate in municipal collaboration formats. · Ensure currency in support systems - Ensure that our structure and information in support systems used for management and board work, such as business and operational plans, board minutes and agendas, and communication materials are up to date. QUALIFICATIONS We are looking for you with relevant university education or equivalent experience in, for example, administration, public administration, economics, social sciences, or business support. You have experience with qualified administrative support, such as committee secretary or work close to management, board, or senior executive leadership. Experience from municipal operations, municipal companies, or other publicly governed organizations is meriting. To succeed in this role, you need to be highly organized and have the ability to create order and progress in complex situations. You have high IT proficiency, are accustomed to working administratively with support systems, and have experience in system administration. You enjoy working close to decision-makers and have a natural aptitude for practical administrative tasks.
