We are looking for a dedicated office and property administrator who, with administrative skills, service orientation, and high engagement, wants to contribute to a well-functioning operation. Our client is a private property management company in Stockholm and this is a consulting assignment initially at approximately 75%, for an initial 6 months, with good opportunities for extension. You will be employed by Isaksson Rekrytering & Bemanning AB and assigned to our client.
About the Assignment
As an office and property administrator, you will work broadly with customer service, tenant relations, and administrative support in day-to-day operations. It is a varied and important role where you handle everything from incoming calls and emails to fault reports, contracts, and applications. You will be an important link between tenants, colleagues, and subcontractors and are responsible for ensuring smooth operations.
You will, among other things:
- Handle customer service – answer incoming calls and emails and maintain contact with tenants and subcontractors
- Receive and manage fault reports and connect these with property maintenance staff
- Write and assist with contracts, such as parking and lease agreements, and handle parking matters
- Process various types of applications such as apartment exchanges, subletters, and waiting lists
- Conduct self-inspections (e.g., monitor OVK and energy declarations) and handle complaints and warnings to tenants
- Assist with general office administration, inventory of storage areas, and procurement
Your Profile
We believe you are communicative, organized, and service-oriented, with a strong ability to build and maintain good relationships with tenants and colleagues. You are skilled at organizing and prioritizing your work, while being proactive and willing to take on new tasks independently.
We are looking for someone who:
- Has experience in a similar administrative role and tasks, and is accustomed to customer contact
- Has strong administrative skills and good IT and system knowledge
- Has experience in the property management industry and/or contract management
- Has relevant post-secondary education or courses in, for example, property management, rental law, or finance
- Has good knowledge of Swedish and English, both spoken and written
- Has experience working in property management systems, which is highly desirable
- Is a student or has another primary occupation
