Position Description: Office Manager (60–75%) depending on arrangement. Purpose of the Position: The Office Manager is a central function in Stehags AIF's daily operations and is responsible for ensuring an efficient, lawful, and well-functioning administrative structure. The role should create favorable conditions for volunteer activities, support the board's work, and contribute to effective internal and external communication. The Office Manager functions as a coordinating function and primary point of contact toward members, leaders, authorities, partner organizations, and other external stakeholders. Primary Work and Responsibility Areas Administrative Coordination: The Office Manager is responsible for planning, coordinating, and monitoring the association's administrative processes, which includes: · Being the contact person toward the municipality, Skånes Football Association, and other external organizations · Responsibility for applications, administration, and follow-up of grants and support · Supporting the finance manager in administrative matters related to invoices, receipts, and documentation · Handling and distributing incoming matters (email and other channels) to the appropriate function · Coordinating booking of training sessions, matches, and activities in dialogue with sections and leaders · Responsibility for member registry, documentation, and archiving according to applicable requirements · Administering keys, access systems, and alarms · Supporting the referee coordinator and coordinating referee-related training initiatives · Supporting the board in planning, meeting administration, documentation, and follow-up, and when necessary, attending board meetings · Coordinating, planning, and when necessary, project-leading the association's events (such as tournaments and activities) in collaboration with relevant sections · Responsibility for coordinating training initiatives and ensuring that leaders are offered relevant training based on operational needs Sales and Revenue Support The Office Manager shall coordinate and support the association's revenue-generating activities: · Administer lotteries and other sales activities in collaboration with sections · Coordinate meetings and collaboration with the association's sales representatives · Monitor sales activities and report to the board Communication and Information The Office Manager is responsible, in collaboration with the communications manager, for the association's ongoing information management: · Coordinate and update the association's digital channels (website and social media) · Contribute to producing and publishing content that strengthens the association's visibility and engagement · Collaborate with sections to highlight activities and operations · Represent the association in external contexts, such as in contact with the municipality Vendor and Procurement Responsibility: · Be the contact person toward suppliers of equipment, materials, and services · Administer orders and monitor deliveries Operations, Facilities, and Other Tasks: · Participate in inventory of materials and equipment together with sections · Maintain ongoing supervision of the association's premises and facilities · Perform simple practical tasks related to operations, such as handling match clothing and certain maintenance work · Perform other work tasks that naturally fall within the scope of the role and contribute to the association's operations Working Hours and Scope The position encompasses 60–75% and is scheduled for both daytime and evening hours to meet operational needs. Work on weekends may occur in connection with events and activities. Authorities The Office Manager has authority to: · Make decisions within ongoing administrative work · Represent the association in operational contacts with external stakeholders · Initiate improvements in administrative processes · Perform purchases within limits established by the board Qualifications The position requires: · Documented experience in administrative work, preferably in association or sports activities · Strong ability to communicate verbally and in writing with different target groups · Experience with digital systems such as member registries (e.g., SportAdmin), social media, and Microsoft Office · Ability to work independently, systematically, and solution-oriented Organizational Affiliation The Office Manager is employed by Stehags AIF and reports to the board or a function appointed by the board.
