The work involves close contact with students, doctoral candidates, teachers, researchers, and external collaboration partners. Study Administration Responsibilities: - Administer registrations and results in Ladok for undergraduate and doctoral education - Manage individual study plans for doctoral candidates - Register new master's students - Administer registrations via Kurskontrollen - Manage course spaces and course occasions in Canvas - Coordinate exam occasions, including booking of exam supervisors and exam administration - Oversee administrative planning for dissertations, such as travel, expenses, and practical arrangements - Provide administrative support in other study administration matters Finance and Personnel Administration Responsibilities: - Review and handle travel expense reports - Some invoice handling - Simpler project administration - Administration of fees and compensation for hourly employees, lecturers, and exam supervisors - Handle payments to external lecturers, experts, and scholarship recipients - Administration in the personnel and address directory Lucat The role also includes general institution administration such as: - Serve as the institution's registrar and oversee filing and archiving - Administer access cards, keys, and onboarding of new employees - Create and update distribution lists - Manage internal information, signage, and information displays - Serve as secretary at internal meetings - Provide administrative support at conferences, workshops, and other events - Handle ongoing administrative tasks such as room bookings and orders Qualifications The position requires: - Upper secondary education (gymnasium) - Experience with administrative work - Very good ability to express yourself in Swedish, both orally and in writing - Good knowledge of English, both orally and in writing - Good computer skills and experience with Microsoft Office - Communicate clearly, professionally, and adapt your communication style to the recipient and situation - Strong service focus and enjoy a supportive role - Value collaboration and have a talent for building good relationships - Work in a structured and independent manner, taking responsibility for driving your tasks forward - Flexible and able to prioritize between different work tasks when operational needs change It is meritorious if you have: - Post-secondary education in a relevant field - Experience with administrative support systems such as W3D3, Lucat, or Primula - Experience working in public administration - Experience with study administration at a college or university We place great emphasis on your personal qualities.
