Job Description
Probation services involve criminal justice supervision carried out in the community. Work begins when a person is suspected of a crime, as probation services conduct background investigations of suspects before trial to help the court determine sentencing in case of conviction. After sentencing, probation services work with execution planning for offenders sentenced to supervision and conditionally released offenders, community service, and enforcement of prison sentences through electronic monitoring. This also includes preparing release plans for those serving sentences in institutions and investigating special release measures. Within Probation Services Småland, approximately 150 employees work at probation offices in Jönköping, Kalmar, and Växjö.
The position of case manager/executive support is based in Jönköping, Kalmar, or Växjö.
In the role of executive support, your main responsibilities will be to support the prison and probation manager and our first-line managers in their roles to achieve operational goals, promote a good work environment, and enable present leadership. Your assignment will be to work with managers to quality-assure and develop local administrative processes and create conditions for our employees to do good work, feel satisfied, and develop in their workplace. You will be employed by the prison and probation inspector at the operational area level and collaborate closely with the prison and probation manager, other management, and centrally placed support functions.
The work is operationally focused, and you will collaborate daily with managers and employees in both operational and strategic matters, where your role is integrative for annual processes such as budget and investment processes. You will be responsible for the operational area's email management and related processes. Other examples of work tasks include recording minutes at labor negotiations and at risk and consequence analyses. You also work to promote good cooperation with labor representatives and safety organizations.
The work tasks are broad in scope, where you contribute to developing, quality-assuring, and supporting, for example, budget and forecast work, statistics, HR administration, and certain HR processes. You will have a coordinating role across different areas, and we welcome your curiosity in finding and developing additional areas. The work may also involve travel when necessary.

We are looking for someone with:
Complete upper secondary education in the form of final grades or upper secondary diploma
Several years of work experience deemed relevant by the Swedish Prison and Probation Service for the position
Experience with administrative work
Good IT skills, primarily in the Office package, especially Excel and Word
Ability to express yourself well in speech and writing in Swedish
Class B driver's license
It is also advantageous to have:
Experience with HR administration
Experience in the HR field
Experience with executive support tasks, such as statistics and documentation
Experience with budget and forecast work
Experience working with operational systems and document management
Experience independently driving, leading, and developing processes with multiple stakeholders
