The Swedish National Land Survey (Lantmäteriet) is the authority that maps Sweden. The Swedish National Land Survey is the government's land surveying authority and administrative authority for issues regarding property division, basic geographic information, property information, and registration. The Swedish National Land Survey is governed, among other things, by the government's annual appropriation letter and is a board-governed authority. The Director General is the Swedish National Land Survey's chief executive. The Director General's Office provides strategic and administrative management support to the Director General and coordinates certain cross-agency matters. This means the office has tasks such as coordinating, initiating, and driving matters in relation to the Government Offices, assisting the legal counsel with regulatory development, coordinating the Director General's matters and preparation of such matters for decision-making, quality-assuring and following up certain of the agency's planning, management, and support documents, and providing administrative support to the board, the Director General, and the management group. It also includes responsibility for planning and coordinating both the work of the Swedish National Land Survey's management group and board work. 1 position(s). WORK DUTIES We are now strengthening the office around the Director General and are therefore seeking an Executive Director's Secretary. As an Executive Director's Secretary, you will have an important and coordinating role supporting the Director General. You will also work closely with a colleague responsible for supporting a number of business area managers. In practice, this means teamwork between you to collaborate and support each other in daily work, and to cover for each other during absences. This also means being able to support other managers in the agency. Your work duties involve being expected to represent the Director General or a business area manager in relevant matters with respect to other functions in the agency, in both management and support dimensions. Your tasks are multifaceted and varied with the common denominator of service, good structure, and quality. You need to enjoy seeking collaborations and finding solutions together with others. Even when assignments are unclear or at a stage where no one has much information. You will provide support for, for example, booking meetings, arranging conferences, email management, and mail handling. You will also manage internal processes such as keeping preparations together, writing documents, facilitating recurring meeting series, suggesting efficiency improvements and improvements to procedures and working methods. You will have great insight into what is happening in the organization and report directly to the head of the Director General's Office. You have an important and central role for the Swedish National Land Survey's senior managers and your coordinated efforts contribute to a smooth working day for management. There is great trust placed in you and your working style is proactive, responsive, and solution-oriented. Your work is varied and you have opportunities to influence and develop your work tasks and working methods yourself. The role requires good cooperation both internally and externally. Placement is at the Swedish National Land Survey's offices in Gävle, Uppsala, or Stockholm. The majority of employees within the office are based in Gävle, which is why regular presence in Gävle is required. QUALIFICATIONS We are looking for you who have a high school diploma and several years of experience with similar work in a larger public organization/agency. This means for us that you have at least 3 years of experience working as management support for executives in the top management group in a larger public organization/agency. You have good ability to express yourself in speech and writing in Swedish and have good knowledge of technical work tools such as the Office package. It is important that you can understand and grasp our daily work and our needs and can translate them into action. Personal qualities are of great importance to us. We are looking for you who have the ability to create structure and order and have good forward planning in your work. You have clear self-drive, find it easy to take your own initiative, and work well independently. You also find it easy to collaborate with others and create professional and trusting relationships. Providing good service feels easy and natural to you. You are thorough and committed to delivering with good quality. You handle both routine work and new challenges without difficulty. You can also analyze existing working methods and come up with suggestions for new ones. It is important that you can handle confidential information with high integrity. Beyond this, you have the personal ability and aptitude to work in accordance with the Swedish National Land Survey's employee criteria. Working in the state means that you follow the state value base. There are also special requirements for judgment, security thinking, and that you comply with applicable laws. The position is security-classified, which means you must be a Swedish citizen and that a security clearance with register review and security clearance interview will be conducted before employment.
