WORK TASKS
The role of Administrative Secretary is broad and varied and involves independently managing and driving various administrative assignments within the unit. You support the Care and Social Affairs Department's operations in administrative processes that develop and change based on the operations' needs. The position is located within the Development and Operations Support Unit and reports to the Administrative Manager. Within the unit work, among others, committee secretaries, controllers, administrators, operations developers, systems managers, MAS and MAR.
As Administrative Secretary, you have overall responsibility for registry, case management, information management as well as archive and disposal matters. You are responsible for the release of public documents, conduct confidentiality assessments and ensure correct handling of personal data. The role also involves being a qualified support to the operations on issues relating to transparency, confidentiality and document management as well as educating and guiding employees in applicable regulations, procedures and case management systems. The assignment also includes delegation within alcohol and tobacco permits.
You work in close collaboration with administration, support functions, management and operations as well as with the municipality's other departments. Together you develop processes within registry, case management and archives to ensure a legally secure, efficient and uniform approach throughout the department.
QUALIFICATIONS
We are looking for you who have:
• three-year upper secondary education in a relevant subject area
• experience of qualified administration and service
• experience of working with processes within social services
• experience of working in a politically governed organization and knowledge of regulations for public operations
• knowledge in documenting, compiling and processing materials
• good data and systems skills
• good ability to express yourself in Swedish in speech and writing
It is a merit if you have:
• relevant post-secondary education in administration, economics and communication
• experience from working as executive support in a larger organization within the public sector is a merit
