We are now looking for an experienced administrator for a client in Stockholm where you will work with national maritime supervision, primarily with central booking of vessel inspections.
About the Assignment
The assignment starts as soon as possible and is expected to run for 2 years.
The position is 100% full-time. The assignment will include the possibility of remote work, estimated at approximately 3 days per week. However, the extent of remote work may vary during the contract period depending on work tasks. Prerequisites for and planning of remote work should be agreed upon with the responsible manager.
The assignment is performed in Kista but as of March 2027 it will be performed in Solna.
Occasional travel may occur as part of the assignment.
Your Work Tasks
Plan and book vessel and shipping company inspections
Work in the unit's supervision system
Prepare decisions, certificates and attestations
File management and archival care as well as manage functional mailboxes
Provide support to the section manager, ship inspectors and case handlers
The position may also include the following work tasks:
Handle administrative routines
Plan and coordinate
Work according to established procedures
Provide operational support to the operations
Draft letters, protocols, documentation, etc.
Handle recurring tasks (such as copying, sorting and mail handling)
Manage numerous contacts with employees and the public
Make calendar bookings and meeting reservations
Perform travel planning
Make independent decisions based on known alternatives
Your Qualifications
Upper secondary education or equivalent
Very good knowledge of MS Office or equivalent
At least three (3) years of professional experience as an administrator/assistant
Able to communicate fluently in Swedish and English, both orally and in writing
Available for digital interview on August 19-20
