Our Operations The Authorization Operations area works toward appropriate medicines through authorizations and advisory services. Through scientific investigations and regulatory management, we ensure that available medicines, for both humans and animals, are of good quality. Within this operational area, there are eight different units with approximately 370 employees in total within authorization. It is a knowledge-intensive and development-oriented organization with a high academic level and a fast pace. Our employees have many internal and external contacts and collaborations in relation to our assignments. Your Responsibilities You will be based at the Product Information unit. The unit is responsible for product information related to medicines and consists of approximately 45 employees divided into three groups, each with its own group manager. At Product Information, you will support the unit's management group with traditional administrative tasks such as meeting coordination, invoice management, recruitment, and travel arrangements. You will also assist and guide the unit's managers in ensuring that activities related to planning, implementation, and follow-up of operational decisions, procedures, work processes, and strategies are carried out on time in a structured manner. This will constitute approximately half of your total working time. During the other half of your working time, you will work with other units within the operational area where needs arise. This may include, for example, support to case handlers, support to unit managers and management groups, and assistance with coordination of larger meetings. Collaboration with other unit administrators within the Authorization Operations area is also an important part of the work. This includes, among other things, being able to back up each other for handling both work tasks and workload. Your Background We are looking for someone with upper secondary education, preferably with relevant post-secondary administrative education, and at least five (5) years of experience in broad administrative work corresponding to the tasks mentioned above. You have an interest in and previous experience with assisting in the implementation of new ways of working and developing administration using various technical and digital solutions or tools. You have good knowledge of Swedish and English in speech and writing, as well as very good skills and proficiency in Office and equivalent software. It is meritorious if you have experience in administrative work from the pharmaceutical industry and/or public sector, as well as if you have experience administering large external meetings or conferences with varying meeting formats. Your Personal Qualities We are looking for someone who is service- and development-oriented, enjoys multiple contact points, and is accustomed to working in close dialogue with multiple managers and teams. You communicate well, with high integrity, and easily build good relationships and collaborations. As an administrator, you work with many parallel workflows and therefore need to be skilled at working methodically and efficiently, finding good structure, and making correct priorities. You are accustomed to working with great independence and initiative, proactively, and with a focus on finding solutions of good quality within the set timeframe. You have a sense for both the big picture and details, are comfortable handling variations in both work tasks and workload, and enjoy learning new things. We will place great emphasis on personal qualities.
