Ref: 20261604 Job Responsibilities As a digital project manager, you will lead work on requirements definition, procurement, development, and to some extent implementation of a new ticketing and booking system for cultural activities. The role involves close collaboration with operations, vendors, and technical teams to ensure successful delivery that meets both operational and visitor needs. In this role, you are responsible for ensuring that the project's goals, budget, schedule, and quality requirements are met through ongoing follow-up and alignment with the project owner and steering committee. You coordinate and distribute all project information to affected operations, vendors, and other stakeholders. The project begins with you developing a project plan based on the cultural administration's project model, which includes a detailed timeline with clear phases and milestones, a detailed budget, clear responsibility areas for different roles, procedures for status and quality reviews, and criteria for project closure. You ensure that the procurement process is designed according to the cultural administration's work processes and guidelines and leads to an IT system that provides a smooth, accessible experience for both visitors and internal users. You work iteratively with prototypes and testing and have a good understanding of how much development can be completed in each project phase so that user focus always remains at the center of the project. All decisions, requirements, and deliverables are documented in accordance with the administration's archival procedures and in the project tool Jira. Throughout the entire project, you are the project ambassador, maintaining continuous dialogue with receiving departments so they can prepare for implementation and operation of the completed system. Qualifications We are looking for someone with experience leading digital projects in the public sector and who is familiar with working according to established project models. You must have documented experience leading projects for IT system procurement through the entire process, from pre-study and requirements definition to implementation. You also need experience with procurement according to LOU and collaborating with procurement functions. The role requires that you have led projects in the public sector with a large number of stakeholders. You should be able to translate client and user needs into clear requirements for vendors and developers, and communicate vendors' capabilities and limitations back to the client organization. You should be able to provide references that demonstrate high delivery reliability and good goal achievement. You also need strong ability to plan, manage, and monitor projects regarding time, cost, quality, and risk, as well as experience using Jira in this work. You should also have a good overall understanding of integrations, APIs, and system architecture. You should be experienced with Jira and able to create and manage project boards, delegate tasks, and develop relevant KPIs for monitoring. You also need experience with Figma and be able to create prototypes and collaborate with others on their design and development. Furthermore, you should be experienced with using Microsoft Teams for team and channel collaboration and for quick chat-based communication. You should also be able to create and distribute forms in Microsoft Forms and collect and compile incoming responses. You also need to understand how AI assistants can be used in work and be able to apply them in a sustainable, secure, and responsible way within the public sector. It is advantageous if you have experience with public sector operations and working in a politically governed organization. We also appreciate that you have a structured work approach and strong ability to inform and report to steering committees and management. Experience leading projects related to visitor and customer-oriented digital services, such as booking, ticketing, e-commerce, or CRM solutions, is also advantageous. The same applies to experience with requirements gathering, workshop facilitation, and business analysis.
