Job Description The role of Executive Assistant involves close and trusted work with the Prison Director and the rest of the management group. This position requires excellent organizational skills, foresight, and the ability to independently plan, coordinate, and maintain order in a complex and sometimes high-paced work environment. Your primary responsibilities as a qualified Executive Assistant and senior administrator are to support the Prison Director in achieving operational goals, maintaining a good work environment, and enabling engaged leadership. As Executive Assistant, you will support the Assistant Prison Directors (first-line managers) in coordinating overarching processes for the operational area through follow-up, investigation, case handling, and administration according to the following tasks: • Support the Prison Director in various processes by monitoring, analyzing, and providing recommendations for action • Coordinate, handle, and prepare cases with different timeframes • On behalf of the Prison Director and local management group, assist with certain administrative matters • Work together with the local management group to ensure consistency within the operational area • Prepare decision-making documents and other materials for management meetings, safety committees, and negotiations • Implement and manage referrals • Assist the Prison Director and Assistant Prison Directors with local HR work/matters • Practical coordination of processes concerning training and recruitment During absences or periods of temporarily increased workload, also support other operational areas from a regional perspective. We are looking for someone who has: • Completed upper secondary education • Experience in handling cases, conducting investigations, and preparing decisions • Knowledge and experience in driving, managing, and maintaining processes with multiple stakeholders • Several years of work experience that the Swedish Prison Service deems relevant to the position • Valid driver's license (Category B) • Strong Swedish language skills, both spoken and written It is also meritorious to have: • Academic education in law, economics, human resources, or another field relevant to the position • Current and broad experience of work within the Swedish Prison Service • Experience working in a management position • Experience with operational development • Experience providing qualified executive or management support • Experience with change management • Good computer skills in the Swedish Prison Service's various systems/programs Other Information The Swedish Prison Service has chosen to remove the personal letter requirement and replaced it with selection questions relevant to the position.
