Be part of shaping it from the start On January 1, 2027, the principle of public access will apply to independent preschools, schools, and after-school programs. For us, this represents a significant change in how we manage, register, preserve, and disclose documents. We are therefore seeking a central registrar who wants to help build work processes from the ground up and contribute to legally sound, efficient, and sustainable information management across the entire organization. This is a role for someone who wants to combine operational records management with strategic development work. You will have the opportunity to influence how registration, case management, archives, and disclosure matters should function in practice when a new regulatory framework is implemented in an organization with operations at many locations throughout the country. About the role During 2026, you will have a central role in the implementation work. You will help map information flows, quality assure document management plans and classification structures, define requirements and implement case management systems, develop procedures, and educate and guide the organization. From 2027, you will have a key role in the ongoing management of public records. Your duties will include: · registering, journaling, and organizing public records and cases in accordance with applicable regulations, · handling and coordinating requests for disclosure from the public, media, authorities, and guardians, · conducting confidentiality reviews, redactions, and preparing decision documents for full or partial denials, · contributing to archive care, deletion, and preservation in accordance with applicable archive regulations and internal governance documents, · providing internal guidance and training in public access, confidentiality, data protection, and document management, · serving as the organization's specialist support in matters concerning records management, public access, and information management, · playing an important role in the development of digital work methods and system support for records management, case management, and information management. You will work closely with colleagues in legal, quality, IT, and operational management. The role has a clear mandate to make independent and professional assessments in matters relating to public access, confidentiality, and document management. It requires integrity, sound judgment, and the ability to stand firm on correct assessments even when matters are complex or operationally sensitive. We are looking for someone who has · relevant education in records management, archives, or information management, or other qualifications we deem equivalent, · solid knowledge of regulations governing document management, public records, public access, and confidentiality, · several years of experience in records management, case management, information management, or archive work, preferably from public or other regulated operations, · experience developing procedures, work methods, or system support for information management, · very good ability to express yourself clearly and correctly in Swedish, both verbally and in writing. It is a merit if you also have · experience from a municipality, government agency, region, school, or preschool, · practical experience handling disclosure requests and conducting confidentiality reviews, · experience implementing or specifying case management systems, · knowledge of operations-based information reporting, · experience with e-archives, deletion investigations, or preservation plans, · good understanding of the interplay between public access principles, confidentiality, and data protection, · experience training managers and employees with no prior knowledge of public access principles. Terms of employment The position is a permanent full-time appointment. The employment begins with a six-month probationary period. Start date is as soon as possible or by agreement. Salary by agreement. Since the position is placed within school operations, it may be subject to background check requirements under the Education Act. Final employment is contingent on presenting a valid criminal record clearance certificate in accordance with applicable regulations. The position is primarily located in Stockholm, but for the right candidate, there is the possibility of placement at another location within Sweden.
