About the Swedish Prison and Probation Service The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. We are the authority responsible for prisons, probation services, remand facilities, and prisoner transport. We are now seeking an administrator for our office at Ullevigatan 17 in Göteborg. The section manager and recruiting manager is Ola Svensson. Job Description As a regional administrator, you will primarily work with document registration, mail handling in both digital and physical form, support to regional legal advisors with simpler case handling, internal service, and standard reception duties. You will be involved in many administrative matters and are expected over time to act independently and proactively in these. When you don't know something, you research it yourself and report the information back to the relevant people. Together with the chief assistant, you form the administrative hub at the regional office. You will mutually cover for each other during vacations and other absences. Work takes place during office hours on-site at the regional office. Remote work arrangements do not apply to this position. Examples of Work Tasks Document registration and records management Execute orders in systems and manage access rights Maintain staffing at the office and perform work tasks within the role such as handling mail and monitoring the authority's mailbox together with the chief assistant Support managers at the regional office with various administrative tasks and provide service to all employees at the office in these matters Administer meeting and conference bookings Assist with everyday IT issues and report faults to the IT department as needed Handle contract matters and cooperate with internal and external partners on matters concerning the office's daily operations Participate in meeting and preparation processes The regional office's needs and directed assignments from the Swedish Prison and Probation Service management may affect the more detailed distribution of work tasks within the area of responsibility, which means that more tasks than those listed above may occur. Qualifications We are looking primarily for someone who is thorough and well-organized in your work. It is also very important that you act in accordance with decisions made, goals, policies, and guidelines, and that you maintain the confidentiality required by your role. You plan, organize, and prioritize your work in an efficient manner, take independent responsibility for your tasks, see the bigger picture, and take the broader perspective into account. You adapt easily to changing circumstances, remain motivated, have good patience, and work until tasks are completed. In this role, you are largely the face of the regional office to the outside world, which is why we place great emphasis on service orientation and responsibility. We are looking for someone who has: Complete upper secondary education in the form of a final grade or diploma Experience in administrative work, preferably in the public sector Good knowledge of the Swedish language, both spoken and written Good IT skills It is also advantageous to have: Experience with document registration and records management Experience in administrative work at the Swedish Prison and Probation Service or another law enforcement authority Experience in government work in the public sector Good knowledge of Heroma Experience with simple case handling Experience working in a support or service function Education in administration and economics Other Information The Swedish Prison and Probation Service has chosen to remove the personal letter and replaced it with selection questions that are relevant to the position.
