The Support and Care Section is responsible for municipal services for individuals with various types of physical and mental disabilities. Our section operates residential facilities, residential support, day activities, personal assistance, accompaniment, and more. The immediate team consists of a section manager, nine unit managers, and three administrative assistants. The administrative assistants and unit managers work in shared offices, which creates excellent conditions for collaboration and collegial learning. RESPONSIBILITIES As an administrative assistant, you are an extension of the employer function, meaning you provide both operational and management support. You are part of a group of three administrators with similar assignments. Within scheduling, administration, and staffing, your primary tasks will be to manage the daily handling of temporary staff and work with scheduling and administration. You will answer questions from managers and employees in these areas and need to have good knowledge of laws and agreements to provide proper support. In the staffing area, you handle vacancies, which means you manage sick leave notifications where needed and book our pool resources in operations as required. Scheduling involves maintaining existing work schedules and actively updating them, plus creating sick leave schedules. We currently use Heroma for our temporary staff booking and scheduling. Other common tasks include finance work such as invoice handling and ordering, time reporting for assistance to the Social Insurance Agency, management of client fees, mail handling, taking minutes at meetings, and other typical administrative tasks. You also have an active role in environmental awareness and developing work methods, contributing ideas, and managing our documents in the management system. QUALIFICATIONS We are looking for someone with post-secondary education in human resources administration or other education that the employer considers equivalent. You also have very good system proficiency since the position largely involves administering various systems. Furthermore, you have knowledge of laws and agreements concerning work time planning and payroll administration, plus experience with scheduling and staffing processes. Previous work in health and care or similar operations is an asset as it gives you good understanding of the assignment. We place great importance on personal suitability. EMPLOYMENT Permanent employment with start date by agreement. Full-time (100%). Working hours are daytime on weekdays.
