As an administrator for internal services, you create the conditions for the authority's operations to run smoothly every day. A typical day can involve coordinating service requests, following up on fault reports, receiving suppliers, or ensuring that new workplaces are in order. You have many points of contact and collaborate closely with both internal and external stakeholders. At the same time, you contribute to the development of our work methods and support systems to create even better service and efficient processes. The role involves significant independent responsibility, where you plan, prioritize, and drive work forward in a structured and solution-oriented manner. Responsibilities You work to ensure that our workplaces, common areas, and service functions maintain high quality and support operational needs. Your responsibilities include, among other things: Receiving, registering, and coordinating internal service requests Managing and following up on fault reports to landlords Ordering and coordinating janitorial services, service assignments, and maintenance work Receiving contractors, service personnel, and suppliers, and when needed, accompanying them during work in the authority's premises Ensuring that office workplaces meet established standards Responsibility for the authority's office supplies, storage, and inventory management Planning and processing orders and simple purchases within your area of responsibility Registering and maintaining current information on inventory and furniture Coordinating internal reuse of furniture and equipment Contributing to ensuring that the authority's common areas are well-functioning and appropriate Providing administrative support to other functions within the Information Management unit during peak workloads or resource needs Participating in the development of digital work methods, processes, and support systems Qualifications As an administrator for internal services, you need to have: Experience with invoice handling and procurement Experience working in a service desk, customer service, or other service-oriented activities High digital proficiency and experience working with various operational systems and digital tools Good ability to express yourself in Swedish, both verbally and in writing It is advantageous if you have experience working in public administration or coordinating internal service functions. You have good personal maturity and can make well-founded decisions even when multiple tasks need to be handled simultaneously. To thrive in this role, you need to be flexible and able to adapt to changed circumstances and varying tasks. Since you have many points of contact, it is important that you are service-oriented and have the ability to create and maintain good relationships. You are also compliance-minded and understand the importance of working according to established routines, guidelines, and regulations. At the same time, you have a solution-oriented approach and contribute to ensuring that work is carried out in a professional and efficient manner.
