About the Assignment You will become part of the Department of Mechanical Engineering, which conducts research and education in areas such as materials, mechanics, production, and vehicle and transport technology. The operations are characterized by close collaboration with industry and society and an international work environment with employees and students from around the world. In your role as administrator, you will have a varied workday with many points of contact. The position is approximately equally divided between facility and infrastructure-related matters and administration and coordination of CHARMEC, a national competence center in railway mechanics. You will work closely with managers, researchers, administrators, and external partners and play an important role in creating structure and providing professional administrative support. Your Main Responsibilities: Facilities and Infrastructure – Approximately 50% Support the administrative manager in facility-related projects and handle facility matters and error reports. Serve as a contact person for facility matters with employees, managers, property owners, and external vendors. Contribute to work on efficient use and development of facilities, workplaces, and work environment. Handle matters regarding furniture, signage, and temporary workplaces. Contribute to order, safety, and well-functioning operational support. Participate in the department's infrastructure group and assist with internal events. CHARMEC – Approximately 50% Plan, prepare, and administer board meetings, seminars, conferences, and other events. Responsible for notices, mailings, minutes, documentation, reports, and filing. Contribute to budget tracking, financial summaries, invoicing basis, and payment follow-up together with the responsible economist. Administer contact registers, agreements, and project-related tasks. Provide administrative support in national and international collaboration projects. Who Are We Looking For? We are looking for someone with post-secondary education in, for example, administration, economics, or project management, or equivalent experience. You have experience with qualified administrative work and are accustomed to managing multiple parallel tasks. To succeed in this role, we see that you have: Strong organizational ability and a structured approach to work. Very good Swedish and English in both speech and writing. Good knowledge of the Microsoft Office package. Ability to work independently while collaborating with various functions and people. A service-oriented and solution-focused approach. It is an advantage if you have experience from a university or college, as well as experience in financial administration, project support, or facility and infrastructure-related matters.
